SummaryCross trains with Accounting Team on accounts payable, accounts receivables, check deposits, and credit card support; provides general administrative support for Finance department.
Duties and Responsibilities Essential Functions- Sort and distribute incoming mail
- Assist in processing invoices using payment platform, Tipalti
- Assist in maintaining vendor and/or customer records in Tipalti or Microsoft Dynamics Great Plains
- Copy and scan incoming checks
- Preparation of cash receipts and check deposits
- Assist with chargeback support and credit card inquiry disputes
- Refund identified duplicate credit card charges
- General data entry as needed
- Assist with file digitalization
- Assist with other projects as needed
- Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
- Support the Mission Statement of the State Fair of Texas
- Perform related duties and responsibilities as required and other duties as assigned
- Comply with all internal, state, and federal regulations
- Complete all training as directed by management
- Computer usage and Microsoft Office (or comparable) and other products as required.
- Office equipment including computers and supporting peripheral equipment.
- Maintain workplace confidentiality and take ownership/accountability for own actions and aspects of the job.
- Excellent communication skills with the ability to develop and convey thoughts clearly, logically and concisely both orally and in writing.
- Ability to interact with employees and vendors in a professional manner.
- Strong organizational skills and detail-oriented
Education and/or Experience
- Proven clerical work experience.
- Reports to Director of Accounting and receives additional direction from other assigned management personnel.
- Works independently with minimal supervision.
- Office environment; exposure to computer screens.
- Working outdoors in various weather conditions and on uneven and/or slippery surfaces, as necessary, especially during Fair time and special events.
- Essential and other important responsibilities and duties require maintaining physical condition necessary for remaining in a stationary position for prolonged periods of time.
- Moving short and long distances to access office supplies, meet guests, perform duties within Fairgrounds, etc.
- Verbally communicate with both internal and external contacts.
- Occasionally lift objects no more than 25 pounds unassisted.
