Office Manager will report directly to the Chief Manufacturing Officer (CMO) and provide high-quality, office support. This includes managing a wide range of administrative tasks, such as travel coordination, internal and external communications, and office management. This role requires minimal supervision and the ability to exercise independent judgment to effectively plan, prioritize, and organize workload within established guidelines and quality standards.
The successful candidate will be reliable, well-organized, and able to interact professionally with internal and external stakeholders at all levels in a fast-paced environment while remaining proactive, efficient, and professional.
- Greet and facilitate onsite visitors.
- Be the first point of contact for all visitors and employees at the Gaming facility.
- Manage and maintain inventory of office supplies for both the Gaming office and Manufacturing Facility Offices.
- Handle incoming and outgoing mail and correspondence.
- Maintain office filing systems and databases.
- Coordinate with the internal facilities team for office maintenance and repairs.
- Process invoices and payments for office related expenditures.
- Track and report office expenses.
- Ensure office equipment is functioning properly.
- Manage relationships with office related vendors and service providers.
- Maintain a safe and clean office environment.
- Receive and respond to email correspondence and telephone calls quickly.
- Manage the contact database by entering, organizing, and tracking all existing and new contacts.
- Track travel expenses, maintain receipts, and reconcile monthly reports.
- Assist with the preparation of written correspondence (i.e. proposals, presentations, etc.) as appropriate.
- Perform additional duties as assigned by the CMO.
- Bachelor's degree in Business Administration or related field
- 2-3 years of previous Office Management experience
- Experience purchasing and maintaining office inventory levels
- Experience maintaining a budget
- This role will be responsible for sitting at and managing the front desk at the Gaming facility.
- Must be willing and able to be onsite 5 days a week.
- Must be willing and able to lift 50 pounds as needed.
