Job Summary
You will serve as the face of National Powersport Auctions, responsible for all administrative duties, delivering outstanding customer service, setting a positive example for staff, and promoting a safe and healthy work environment. This position reports directly to the Office Manager.
Responsibilities- Arrive to work on time according to your required schedule
- Maintain courteous and respectful interactions with fellow employees and customers
- Dress appropriately for your job duties in accordance with the employee manual
- Keep your work area neat and clean
- Ask questions if you are unsure about a task
- Handle incoming phone calls, emails, and faxes; respond promptly
- Collect and disperse mail, including titles, checks, parts, and other items
- Check folders in AMS and file them appropriately; file received invoices in the correct location
- Process e‑sale invoices for locally sold units: print, pull folders, and check VINs on invoices with titles; scan and email to foreign buyers
- Post keys and consignments; post batteries as required
- Assist with dealer issues, updates, and sorting to relevant departments; clean and organize lobby and office spaces
- Receive payments for invoices and payoffs; record notes in AMS
- Manage auction‑ready folders and other documentation; ensure titles are signed over and notarized
- Conduct AR calls and emails; file or send invoices when paid or flooring; document manager decisions in activities
- Screen for unusual invoices, first‑time buyers, and other potential issues
- Handle bank deposits: verify checks, scan, and submit for deposit; maintain accurate cash records and night drop bag procedures
- Oversee transportation and dealer pick‑ups: sign‑in transporters, collect payments, verify invoice status, and load goods appropriately; scan and email condition reports
- Manage debtor redemption pickups: complete redemption forms, verify payments, capture IDs, and update AMS; provide receipts
- Perform auction duties: preview day preparations, broker titles, confirm rider information, organize bidder and guest check‑ins, and collect necessary payments
- Assist with post‑auction tasks: prepare final auction catalog, file last‑minute folders, manage bidder out‑checks, and coordinate transportation pick‑ups
- Process invoices post‑sale: generate invoices, send to appropriate parties, and verify title accountability
