Responsible for the recovery from various manufacturers for the cost involved in performing warranty repairs on equipment the company represents, and for the documentation and maintenance of all records pertaining to all warranty policies and work performed.
Warranty Administrator Responsibilities- Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal
- Learns and maintains a clear understanding of warranty policies from manufacturers we represent
- Analyzes work orders and determines warranty from non-warranty repairs
- Coordinates effectively with Service Coordinators, Product Service Managers, Service Technicians, and Parts department to gather necessary information for claim submission
- Reviews warranty work orders to ensure accurate documentation and technical notes for maximum reimbursement
- Prepares and submits accurate warranty claims to manufacturers within the required time limit
- Reviews all warranty claims submitted from the previous day and maintains Accounts Receivable with a goal of all receivables staying within 0-30 days Communicates with Manufacturers, Service Coordinators, Product Service Managers, and Service Managers regarding warranty issues, claim statuses, and resolutions
- Submits credit memos to the accounting department promptly
- Reviews openWIP, identifying warranty work orders with last labor date of 7 days or older and ensures completion of repairs and initiates the warranty submission process
- Ensures consistent and reliable on-site attendance
- Performs other job-related duties as assigned
- Three years of experience in warranty administration in the heavy equipment or automotive industry
- High school or equivalent
- Proficient in Microsoft Office suite at the intermediate level or higher
- Proficient in Internet applications and research
- Ability to interpret Parts and Shop Manuals
- Excellent interpersonal skills
- Excellent communication skills, verbal and written
- Excellent problem-solving and negotiation skills
- Detail-oriented with excellent follow-up and follow-through work traits
