Position: Area Office Administrator I - North Texas Capernaum

Area Office Administrator I – North Texas Capernaum

North Texas Capernaum is looking for an organized and self‑motivated administrator to support three full‑time and three part‑time staff members, a volunteer team of forty leaders, and fifteen committee members in a thriving ministry spanning Dallas County.

Summary

This position provides administrative support, enabling the field ministry area office to function in a well‑organized and efficient manner.

Essential Duties
  • Answer correspondence, file documents, and prepare mailings.
  • Answer phones and respond to voicemail, e‑mail, and phone calls promptly.
  • Gather articles, pictures, layout, production, and mail items for newsletters from area staff.
  • Create club/event postcards, flyers, and/or maps.
  • Send prayer e‑mails, monthly updates, and personal support mailings.
  • Create and maintain the area M‑Site.
  • Send thank‑you letters to donors.
  • Interact with the area office assistant, area directors, committee members, volunteer team leaders, and area leaders.
  • Process and track donations, maintaining donor and leader databases and ensuring all leader forms, driver questionnaires, and criminal background checks are up‑to‑date.
  • Manage monthly expenses and budgets, including area bank account records, FDT, and staff expense reports.
  • Maintain contact databases: update donor, club‑card, parent, newsletter recipient, banquet invitation, and e‑mail distribution lists.
  • Track and report vacation, sick, and personal days for staff; submit timesheets for hourly staff; complete personnel action requests to hire or terminate area staff.
Human Resources
  • Track and report vacation, sick and personal days for eligible area staff.
  • Submit timesheets for hourly staff.
  • Complete personnel action requests and required documents to hire or terminate area staff and forward to region for approval.
Event Administration
  • Coordinate area meetings: area staff meetings, leadership meetings, and committee meetings.
  • Track camp participation, payments, health forms, and fundraising earnings; send letters to parents about camp sign‑ups, itineraries, and health forms.
  • Market and promote fundraisers; construct and distribute camp brochures; communicate with camp regarding contracts, deposits, A‑forms, housing request forms, and 10‑day call‑ins.
  • Plan and execute banquet/golf marathon/auction events: create invitations, banquet sponsor packets, table host packets, banquet programs, donor cards, track guest lists, RSVP lists, and donations.
Training
  • Provide training to the area office assistant, area directors, committee members, volunteer team leaders, and area leaders on processes, applications, and event administration.
Education

High school education or its equivalent. Associate’s degree preferred. Ongoing education encouraged.

Experience Required
  • Previous administrative assistant experience preferred.
  • Ability to type 55–60 words per minute with few errors.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with attention to detail and the capability of handling concurrent tasks and constant interruptions.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Basic accounting skills.
  • Great customer service skills.
