Our client, a highly regarded investment firm in Dallas, is seeking a polished, high-caliber Executive Assistant to support their President. This is a critical, high-visibility role requiring strong judgment, discretion, and the ability to operate in a fast-paced, high-performance environment.
This position is ideal for an Executive Assistant who thrives in a strategic partnership role and enjoys owning both business and personal support responsibilities with a "no task too big or small" mindset.
Key Responsibilities- Manage a highly complex, integrated calendar across business and personal commitments
- Coordinate heavy global travel (domestic and international), often with quick turnarounds and changing priorities
- Ensure seamless execution of investor-facing meetings, including logistics, materials, and real-time adjustments
- Prepare executives for meetings through briefing materials, agendas, and proactive prioritization
- Track follow-ups, manage action items, and maintain alignment across priorities
- Handle personal support tasks including travel, vendor coordination, and household-related logistics
- Oversee expense tracking, bill pay, and documentation across multiple properties and assets
- Maintain organized systems for records, travel, and ongoing projects
- Act as a proactive thought partner to anticipate needs and streamline day-to-day operations
This role carries a heavy emphasis on high-touch travel coordination, including frequent trips to key domestic and international business hubs. The ideal candidate understands the Principal’s preferences and prioritizes efficiency, convenience, and executive productivity when managing travel (e.g., direct routes, optimal timing, top-tier accommodations).
Ideal Candidate Profile- 4+ years of experience supporting senior executives (C-suite preferred)
- Background in finance, private equity, or investment environments strongly preferred
- Demonstrated success managing complex scheduling and global travel logistics
- High level of discretion and professionalism in high-trust environments
- Strong written and verbal communication skills; detail-oriented and precise
- Proactive, solutions-oriented mindset with the ability to operate independently
- Technically proficient (Microsoft Office Suite required; familiarity with tools like Adobe Acrobat, Canva, or AI tools is a plus)
- Experience supporting high-net-worth individuals or handling personal/household support is a plus
- Bachelor’s degree required (3.0+ GPA)
- Proven tenure and stability in prior roles
- Ability to manage ambiguity, shifting priorities, and high expectations
