Sr Administrative Assistant II, School of Public Health (953388) Job Summary
The Administrative Assistant II plays a key role in supporting departmental operations by providing advanced administrative coordination and organizational support. The position manages operational tasks, including maintaining records and budgets, preparing reports and data summaries, supporting personnel and purchasing activities per institutional guidelines, coordinating meetings, travel, and special events, and serving as a point of contact for internal and external partners to ensure timely completion of priorities and deadlines.
Responsibilities- Provide moderately complex administrative skills for the department.
- Prepare, maintain, and post records, reports, and budget information.
- Prepare or direct the preparation of charts, graphs, and administrative, fiscal, personnel, and/or statistical reports.
- Select office vendors and monitor purchasing processes.
- Assist with overflow work from administrative and executive assistants and fill in for the office receptionist as needed.
- Schedule and organize activities such as meetings, travel, conferences, and department activities for members of the department.
- Compose and process repetitive and non-repetitive documents in accordance with established procedures.
- Organize office procedures to ensure effective operation.
- Act as department liaison with other departments and agencies.
- Process all personnel and purchasing transactions following institutional policies and procedures.
- Determine work priorities and monitor progress toward work deadlines.
- Ensure document retention processes are followed using established guidelines.
- Perform other duties as assigned.
- High school graduation or GED and four (4) years related secretarial/administrative experience. Higher education may be considered in lieu of minimum requirements.
- Ability to work in a fast‑paced, results‑oriented environment.
- Excellent customer service skills and interpersonal communication skills.
- Strong service‑oriented mindset with a proactive, solutions‑focused approach.
- Demonstrated organizational skills with strong attention to detail and accuracy.
- Proficiency in standard office software.
