Law Firm Front Desk Receptionist
Bell Nunnally, a highly respected business law firm with a record of success spanning over four decades, is seeking a front desk receptionist. The firm is located in the Arts District of downtown Dallas and offers a full range of legal services such as litigation, commercial finance, bankruptcy, intellectual property, labor and employment, mergers and acquisitions, immigration and real estate. Job duties include greeting and directing clients and visitors upon arrival, answering the telephone and directing calls to the appropriate party, scheduling conference rooms for meetings, gathering, organizing, and disseminating information, performing standard office tasks such as data entry, scanning, filing and maintaining records, and copying documents. Position is a full-time in-office role. Reports to the firm’s HR manager.
Job Responsibilities- Serve as the first point of contact for clients, vendors, and others. Greet office visitors and ensure they sign the guest book.
- Answer the main office telephone lines in a courteous and business professional manner; transfer callers to appropriate parties or take complete messages to allow the call to be returned.
- Manage, schedule, and review daily the office conference rooms calendars.
- Perform light office housekeeping duties, ensuring the lobby and reception area are tidy.
- Receive and log in all incoming mail, courier packages, and hand deliveries.
- Maintain an accurate accounting of parking validations at all times.
- Assist attorneys and legal assistants with check requests, time entry, pre-bills, correspondence and assembling documents, potentially taking on junior legal assistant responsibilities.
- Assist functional departments with scanning, photocopying, filing and data entry.
- Overtime work may be required from time to time.
- Perform other duties as assigned.
- Maintain a pleasant customer service-oriented demeanor and a positive, proactive disposition.
- Ability to attend work consistently and maintain a regular work schedule.
- Must be able to work independently and as part of a team in a fast-paced and collegial environment.
- Ability to follow directions and adhere to operational guidelines and procedures.
- Ability to use Microsoft
365, including Word, Excel, and Outlook, and enter, manipulate, and retrieve information using a computer. - Ability to multi-task effectively and prioritize tasks.
- Ability to perform data entry accurately in a high-volume environment.
- Knowledge of business English, spelling, and business math.
- Familiarity with using standard office machines, including photocopiers, scanners, fax machine, telephones, and computers.
- High school diploma or general education degree (GED) required with a preference for college coursework or degree.
Work is performed in an office environment and involves everyday risks or discomforts, requiring normal safety precautions when performing work. Work requires frequent walking, standing, bending, and carrying items up to 10 pounds.
Regular, predictable, and punctual attendance is required for performance of duties.
Work requires physical presence in the office.
Work hours are Monday through Friday 8:15am to 5:15pm with a one-hour unpaid lunch break each workday.
