As the Temporary Law Firm Receptionist, you will be the first point of contact for our esteemed clients and visitors. Your role will be crucial for the smooth running of the office and the enhancement of external and internal relations. You will be part of a dynamic team that thrives in a fast-paced, high-performance environment, where every individual makes a significant contribution to the success of our firm.
This is a temporary position that requires a minimum commitment of six months, with potential for extension or transition to a permanent role.
- Serve as the first point of contact for clients, visitors, and vendors, providing a professional and friendly service.
- Manage incoming calls, emails, and mail; route and resolve information requests.
- Coordinate scheduling of meeting rooms and manage appointments for attorneys.
- Maintain organized and efficient files and records, both digital and physical.
- Support the preparation of legal documents and correspondence.
- Assist with various administrative tasks as needed, such as data entry, photocopying, and document scanning.
- Uphold the professional image of the firm through exceptional client service and maintenance of a clean and welcoming reception area.
- Collaborate with other administrative staff to ensure seamless day-to-day operations of the firm.
- High school diploma or equivalent required;
Associate's or Bachelor's degree preferred. - Minimum of 2 years of experience in a receptionist or administrative role, preferably within a law firm or legal department.
- Proven experience in filing and record keeping.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn other software systems.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks simultaneously and prioritize workloads effectively.
- Strong interpersonal skills with the ability to build relationships with staff, clients, and vendors.
- A proactive approach to problem‑solving and the ability to handle confidential information with discretion.
