Compass is recruiting for an Executive Assistant to provide comprehensive support to our leadership team out of our Dallas office.
You'll be the connective tissue of the executive team — managing calendars, coordinating travel and events, preparing polished documents, and serving as a trusted point of contact for internal and external stakeholders.
Responsibilities- Calendar Management:
Coordinate and manage executive calendars, including scheduling appointments, meetings, and travel arrangements. - Communication Handling:
Serve as a primary point of contact for internal and external stakeholders, responding to inquiries and drafting communications on behalf of the executive team. - Meeting and Event Coordination:
Organize and prepare meeting materials, capture minutes, and follow up on action items. Coordinate details for team meetings, summits, and events — including travel, agenda creation, calendaring, and catering. - Travel Arrangements:
Arrange and coordinate travel itineraries, accommodations, and logistics for executive team members and for candidates traveling in for interviews. - Document Preparation:
Draft, edit, and proofread documents, presentations, and reports, ensuring accuracy in all materials produced for the executive team. - Expense Management:
Track, reconcile, and submit executive team expense reports accurately and on time. - Confidentiality:
Handle sensitive and confidential information with discretion and a high level of professionalism. - Project Support:
Provide administrative support for special projects and initiatives led by the executive team. - Team Support:
Support Dallas office events and activities and share in weekly Dallas office administrative tasks (e.g., coffee and popcorn machine setup, and other Dallas-based events).
- Proven experience as an executive assistant or in a similar administrative support role.
- Proficiency in Microsoft Office Suite and other relevant software.
- Strong organizational and time management skills, with the ability to juggle multiple priorities seamlessly.
- Excellent written and verbal communication skills.
- Bachelor’s degree or equivalent work experience.
- Proactive and able to anticipate needs before they arise.
- Strong attention to detail and the ability to maintain composure under pressure.
- Discretion and confidentiality in handling sensitive information.
- Excellent interpersonal skills and a collaborative, humble approach — a natural fit for Compass’s culture of stewardship and continuous improvement.
