A well‑established organization in the Highland Park area of Dallas is seeking a dependable and organized Administrative Assistant to support its engineering and operations team. This position is ideal for someone who enjoys keeping an office running smoothly, coordinating schedules, managing administrative tasks, and providing day‑to‑day support to managers and technical staff. This is a highly visible role that serves as a central point of coordination for the department.
The position does not require technical engineering experience but does require strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast‑paced office environment.
- Provide administrative support to department leadership and engineering staff
- Coordinate meetings, conference room scheduling, and calendar management
- Prepare and distribute meeting materials, agendas, and documentation
- Assist with ordering office supplies, equipment, and departmental materials
- Coordinate shipping and receiving activities for office and project‑related items
- Maintain department records, files, and documentation
- Support travel coordination and logistics when needed
- Handle general office correspondence, data entry, and document preparation
- Assist with special projects and miscellaneous administrative tasks as assigned
- Serve as a point of contact between internal teams and external vendors when necessary
- Previous experience in an Administrative Assistant, Office Coordinator, Executive Assistant, or similar support role
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Power Point
- Excellent organizational and time‑management skills
- Ability to manage multiple priorities while maintaining attention to detail
- Professional demeanor and customer‑service mindset
- Experience supporting managers, supervisors, or departmental teams
- Successful completion of a comprehensive 10‑year background investigation
- Ability to work on‑site Monday through Friday in the Dallas/Highland Park area
- Experience supporting engineering, construction, operations, or project‑based teams
- Experience coordinating shipments, purchasing, or vendor interactions
- Familiarity with office administration in a corporate environment
