Overview

We are currently seeking an Administrative Assistant for our DFWIA project, in Dallas, TX. The Administrative Assistant is responsible for providing administrative support to a Project, Regional or Service Group office, including customer service and support to the project team, vendors, and subcontractors.

Responsibilities
  • Data entry and reporting
  • Processing invoices, check requests, and other departmental paperwork
  • Maintenance of SharePoint sites and document libraries
  • Tracking department certifications and other administrative duties as assigned
  • Organizing meetings and correspondence, including phone calls, emails, mail, and other deliverables
  • Opening and screening incoming mail and distributing to appropriate team members
  • Acting as first point of contact with internal and external sources such as clients, vendors, press, and job candidates
  • Coordinating meetings and assisting with travel arrangements, hotel accommodations, gifts or awards purchase, and food and drink services
  • Coordinating the schedule for conference rooms
  • Ordering office supplies and wearables through corporate vendors
  • Performing basic internet research, compiling lists, and gathering information from other departments
  • Providing general administrative support for a project, including general HR or PTO recordkeeping, basic payroll administration duties, change order processing, and other project-related administration
Qualifications
  • High school diploma or GED required
  • Associates degree or some administrative training is a plus
  • 1 year of experience in an office setting
  • At least 1 year of relevant experience
  • Ability to work in a fast-paced environment
  • Ability to take direction and prioritize responsibilities
  • Solid written and verbal communication skills
  • Ability to maintain discretion at all times
  • Proficient with MS Office Programs
