Position SummaryThe Corporate Operations Coordinator serves as a key administrative and operational partner supporting multiple departments across the organization. This role provides high level coordination and administrative support to Clinical Leadership, Human Resources, Marketing, and Operations while ensuring day-to-day business functions are executed efficiently and professionally.
The Corporate Operations Coordinator is responsible for managing a wide variety of administrative, operational, and project-based responsibilities, serving as a central point of coordination between departments, executives, vendors, and external partners. The ideal candidate is proactive, highly organized, adaptable, resourceful, and able to communicate effectively with individuals at every level of the organization while maintaining confidentiality.
Executive & Department Support- Provide administrative support to the Chief Dental Officer (CDO), Marketing, Human Resources, and Operations leadership.
- Coordinate calendars, meetings, travel, presentations, communications, and special projects.
- Support executive priorities and cross-functional initiatives to ensure organizational success.
- Maintain confidentiality and professionalism when handling sensitive information.
- Support the CDO with continuing education (CE) records, licensure, certifications, and clinical documentation.
- Coordinate clinical legal records and administrative documentation.
- Manage communication and coordination with UCSF School of Dentistry, Women in DSO, and other professional organizations.
- Coordinate conferences, speaking engagements, meetings, and travel arrangements.
- Coordinate employee birthday and work anniversary recognition programs.
- Assist with patient complaint administration and HR systems.
- Coordinate employee appreciation initiatives including Thanksgiving meals and recognition events.
- Order supplies and event materials from Amazon, Sam's Club, and approved vendors.
- Maintain a safe, professional, and organized corporate office environment.
- Coordinate office supplies, mail distribution, shipping, and Fed Ex/vendor communications.
- Serve as liaison with property management, facilities, IT, and office vendors.
- Coordinate meal orders for corporate departments and field operations.
- Support company meetings, trainings, and corporate events.
- Manage vendor relationships, contracts, and service requests.
- Arrange travel, lodging, transportation, and itineraries for executives and department leaders.
- Coordinate leadership meetings, employee events, and corporate functions.
- Assist with planning and execution of company celebrations and special events.

- 3-5 years of executive administration, operations coordination, or project coordination experience preferred.
- Experience supporting multiple executives and departments.
- Healthcare or dental industry experience preferred.
- Office-based environment with occasional local travel.
- Ability to sit, stand, walk, and lift office materials up to approximately 25 pounds as needed.
- May require occasional overtime to support business needs and company events.
