What’s a typical day as Front Desk Administrative Assistant? You’ll be:
Providing administrative and clerical support to the department or office, including data entry and word processing.
Coordinating logistics for office events, office moves, and occupation.
Offering back-up support for reception and mailroom duties.
Managing daily office operations, including supply monitoring and ordering, and minor equipment servicing.
Greeting visitors, guests, and patients courteously, ascertaining their needs, and providing prompt assistance.
Answering and screening phone calls, routing calls, and accurately recording and delivering messages.
Planning and scheduling calendars, resolving conflicts, and arranging travel per organizational policies.
Preparing routine communications, reports, forms, and correspondence, and coordinating the production and dissemination of materials.
Creating and maintaining confidential files in line with established policies and procedures.
Assisting in developing policies, procedures, and objectives to maximize workflow and ensure accuracy of records.
This job might be an outstanding fit if you:
Have a High School Diploma or GED equivalent (required).
Possess at least 1 year of relevant administrative experience.
Are bilingual in Spanish and English (required).
Demonstrate strong knowledge of office procedures and document management.
Exhibit excellent customer service skills with empathy, patience, and confidence.
Can maintain confidentiality of sensitive information.
Have strong interpersonal and communication skills, both verbal and written.
Are detail-oriented and able to handle multiple priorities calmly under stress.
Possess general computer skills, including typing, email, and electronic documentation.
