Our client, a well-established Dallas law firm, is seeking a Facilities Assistant to join its growing Facilities team.

This is a newly created position due to firm growth and is an excellent opportunity for someone who enjoys a fast-paced, team-oriented environment and takes pride in providing exceptional internal customer service.

Working closely with the Facilities Manager, you'll play a key role in ensuring the office operates efficiently and provides a first-class experience for attorneys, staff, clients, and visitors.

Responsibilities
  • Support the day-to-day operations of the office by helping maintain a clean, organized, and professional environment.
  • Monitor conference rooms, kitchens, copy centers, and other common areas to ensure they are fully stocked and functioning properly.
  • Order, organize, and maintain office and kitchen supplies and inventory.
  • Coordinate with vendors, building management, and service providers for routine maintenance, repairs, and office services.
  • Assist with office moves, workstation setups, furniture installations, and space planning.
  • Help maintain office seating charts and workspace records.
  • Set up conference rooms for meetings, client events, and special functions, while responding quickly to last-minute requests.
  • Assist with new hire office setups to ensure a seamless onboarding experience.
  • Support office safety initiatives, including emergency preparedness, safety inspections, and fire drills.
  • Coordinate building access, employee badges, and visitor logistics.
  • Process invoices, maintain vendor records, track facilities requests, and assist with expense reporting.
  • Deliver outstanding customer service while supporting attorneys, staff, and clients with day-to-day office needs.
  • Perform additional administrative and facilities-related duties as assigned.
Qualifications
  • 1–3 years of facilities, office services, or administrative experience (law firm or professional services experience preferred).
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills with a customer-service mindset.
  • Detail-oriented, dependable, and proactive with strong problem-solving abilities.
  • Proficient in Microsoft Office; experience with facilities management or ticketing systems is a plus.
  • Ability to occasionally work overtime as needed.
