Munsch Hardt for a Facilities Assistant who enjoys keeping an office running smoothly and takes pride in providing outstanding service. Working closely with our Facilities Manager, you'll play an important role in supporting the daily operations of our Dallas office by ensuring our workspace is organized, welcoming, and operating efficiently.
What You'll DoAs a Facilities Assistant, you'll help create a first-class workplace experience for our attorneys, staff, clients, and visitors by:
- Supporting the day-to-day operations of the office and ensuring shared spaces are clean, organized, and fully functional.
- Monitoring conference rooms, kitchens, copy areas, and common spaces to maintain a professional environment.
- Coordinating office and kitchen supply inventory, ordering, and stocking.
- Serving as a liaison with vendors, service providers, and building management.
- Coordinating routine maintenance, repairs, and service requests while tracking work to completion.
- Assisting with office moves, workspace reconfigurations, furniture installations, and new employee office setups.
- Supporting conference room scheduling and ensuring meeting spaces are prepared for client meetings and internal events.
- Responding quickly to last-minute meeting changes and office requests.
- Assisting with office safety initiatives, emergency preparedness, fire drills, and maintaining emergency supplies.
- Coordinating building access, visitor logistics, and badge requests.
- Processing invoices, tracking facilities expenses, and maintaining vendor and service records.
- Supporting facilities reporting, documentation, and administrative projects.
- Delivering exceptional customer service to attorneys, staff, clients, and visitors.
- 1-3 years of facilities, office services, administrative, or related experience (law firm or professional services experience preferred)
- Excellent organizational skills with strong attention to detail
- Outstanding customer service and communication skills
- Ability to prioritize multiple tasks in a fast-paced environment
- Strong problem-solving skills and a proactive approach to work
- Proficiency with Microsoft Office; experience with facilities management or ticketing systems is a plus
- Flexibility to work overtime when business needs require
