Job OverviewThe role of Kitchen Administration Assistant is the right hand person of the Food Service Manager, helping ensure the kitchen runs smoothly while also keeping the manager organized, accountable, and ahead of deadlines. Serves in a back up capacity to the Kitchen 1 Assistant and Kitchen Logistics Assistant, making sure that there is always coverage for all Kitchen roles. Because every meal and every interaction reflects our mission, we measure success not only by completed tasks but by faithful stewardship, teamwork, and reliability.
- Manage the Food Service Manager's calendar by scheduling meetings, coordinating appointments, and providing timely reminders to maximize preparedness and efficiency
- Schedule recurring meetings, preventative and ongoing maintenance, routine checks, and ministry deadlines proactively to minimize scheduling conflicts and last-minute changes
- Maintain organized administrative systems, records, and documentation to support daily operations
- Assist with inventory management by monitoring supplies, preparing purchase requests, and maintaining organized, inspection-ready food storage areas that meet food safety and ministry standards
- Receive, organize, and responsibly steward food donations to maximize available resources
- Provide administrative, logistical, and operational support to the Food Services team while adapting to changing daily priorities
- Communicate professionally with staff, volunteers, vendors, and other departments to foster collaboration and teamwork
- Identify and implement opportunities to improve organization, communication, processes, and operational efficiency
- Demonstrate flexibility by assisting with kitchen, logistics, and administrative responsibilities as needed
- Maintain confidentiality when handling sensitive personnel, operational, or ministry information
- Demonstrate dependable attendance, punctuality, and timely completion of assigned responsibilities
- Model a servant-hearted attitude by approaching every responsibility with humility, excellence, and a commitment to the ministry's mission
- Perform other duties as assigned
Experience & Skills
- High school diploma or equivalent required
- Two years of commercial or professional kitchen experience preferred
- Previous experience in a faith-based organization preferred
- Proficient with Apple applications (Pages, Numbers, Keynote), Google Workspace, Notion, Canva, and other common office technologies
- Ability to prepare reports, create task lists, follow instructions, and interpret vendor contracts
- Food Handler's Certification, or the ability to obtain one within 30 days of employment
- Valid driver's license with an acceptable motor vehicle record required
- Comfortable working in a busy, public-facing environment
- Ability to stand for extended periods
- Physically capable of lifting and transporting up to 50 lbs independently, and handling heavier loads with appropriate assistive equipment or team assistance
- Ability to safely operate a pallet jack
- Humble, approachable, and servant-hearted with professional maturity and integrity
- Strong communication, organization, and time management skills
- Detail-oriented with the ability to manage multiple priorities in a fast-paced environment
