OPPORTUNITY
Seeking an energetic, responsible individual to join our growing organization. The Brokerage Administrator will provide support for the Lan Carte Brokerage Team.
KEY RESPONSIBILITIES / DUTIES (to include but not limited to) The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position:
- Coordinate and produce all correspondence, proposals, spreadsheets, presentations, commission agreements, etc. for sales agents in the Dallas office
- Assist with property research/market searches using CoStar, central appraisal districts, etc.
- Create and prepare materials for client meetings, to include:
- Market survey books – create, print, and bind
- Market tour books – create, print, and bind
- Proposal summary books - create, print, and bind
- Placemats – create and print
- Closing books – create, print, and bind
- Create and maintain client files (electronic and hard copies)
- Maintain calendaring and scheduling through Outlook
- Schedule market tours with respective listing brokers through Outlook calendar invites
- Prepare commission recaps
- Prepare expense reports
- Submit invoice and Lan Carte W9 on closed transactions
- Enter critical lease dates and purchase/sale dates via calendar appointment in Outlook
- Enter closed transaction details (rent schedule, lease commence/expire, options, etc.) into client Outlook Contacts
- Draft and edit legal documents as applicable to transactions
- Maintain database of contacts, lease comps and sales volumes
- Maintain property listings and recent transactions on various sites
- Perform other administrative duties/tasks that may arise, include answering the main office line, helping maintain the common areas, welcoming guests, running errands as needed, maintaining office supplies, coordinating the office mail, notifying and working with the property manager on any property issues that arise at the Dallas office.
WORKING SCHEDULE:
This is a full-time position requiring a minimum of 40 hours per week. Office hours will be Monday - Friday 8:30 am – 5:30 pm, with the understanding that most hours worked will be from 8:30am - 5:30pm Monday – Friday. There shall be an understanding that on occasions additional hours will be necessary. This is an in-office position.

EXPERIENCE, EDUCATION & CERTIFICATIONS
- Minimum of 2 years of experience as an administrative assistant; experience in real estate firm, title company, bank, or other related industry is preferred
- Adobe Creative Suite is a plus
- Legal document preparation experience is a plus
- Extensive familiarity with Microsoft Office Suite
