Ma'ruf Dallas is seeking a highly organized and detail-oriented Office Administrator to provide essential support to clients and staff. The Office Administrator will play a critical role in ensuring the organization's success across programmatic, operational, financial, and public dimensions. The Office Administrator will be responsible for providing administrative assistance, managing office equipment, communicating with internal and external stakeholders, and providing customer service.
The individual will manage office administration duties.
- Create and maintain an organized system for important documents, reports, mailing lists, and our stakeholder database.
- Manage electronic and physical files to ensure easy access and retrieval of information.
- Assist in record-keeping and data entry tasks.
- Assist senior leadership in drafting reports, memos, applications, and other written communications on behalf of the organization.
- Proofread and edit documents to maintain high-quality written materials.
- Assist with the creation and distribution of newsletters, updates, and announcements.
- Coordinate schedules, meetings, events, appointments, and interviews for organization staff and clients.
- Manage calendars, set reminders, and ensure timely communication and follow-up.
- Provide administrative support to leadership and the organization as needed.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate staff.
- Assist with filing, photocopying, and other administrative tasks.
- Collaborate with community members and stakeholders as needed, maintaining a positive and professional demeanor.
- Represent Ma'ruf Dallas at community events and meetings when required.
- Proficient in administrative assistance and office equipment management
- Strong communication skills and ability to liaise with internal and external stakeholders
- Customer service oriented and can manage customer inquiries and concerns
- Experience in office administration and is familiar with recordkeeping and database management
- Knowledge in maintaining office efficiency and cleanliness
- Ability to work independently and has predilection to help where needed
- High school diploma required, Bachelor degree is preferred
- Full-time position
- Occasional Saturdays
