We are seeking an organized, proactive Executive Assistant to provide administrative support to leaders across our Product and Technology organizations. This role is ideal for someone who can manage multiple priorities, communicate professionally, and anticipate the needs of the leaders and teams they support.

The Executive Assistant will coordinate calendars, meetings, travel, communications, and team activities while helping the Product and Technology organizations operate effectively. Success in this position requires strong judgment, attention to detail, discretion, and the ability to work collaboratively in a fast-paced environment.

This will be a hybrid role based in Dallas, TX.

Responsibilities
  • Administrative Support:
    Provide day-to-day administrative support to Product and Technology leaders, including managing calendars, scheduling meetings, coordinating travel, and preparing expense reports.
  • Calendar and Priority Management:
    Coordinate complex schedules, resolve conflicts, and help leaders prioritize meetings and commitments based on business needs.
  • Meeting Coordination:
    Schedule and organize leadership meetings, team meetings, and other Product and Technology events. Prepare agendas, distribute materials, coordinate logistics, and arrange onsite meeting spaces.
  • Communication Support:
    Assist with internal and external correspondence, monitor and prioritize incoming requests, and ensure timely follow-up on key items.
  • Travel Coordination:
    Arrange domestic and international travel, including transportation and accommodations, and prepare detailed itineraries when needed.
  • Team and Event Support:
    Assist with planning onsite meetings, leadership sessions, team events, and other activities for the Product and Technology organizations.
  • Project and Initiative Support:
    Provide coordination and administrative assistance for special projects, organizational initiatives, and team priorities as assigned.
  • Document and Presentation Preparation:
    Compile information and prepare reports, presentations, meeting materials, and other documents to support Product and Technology leaders.
  • Stakeholder Coordination:
    Build effective working relationships with employees, leaders, administrative partners, vendors, and other internal and external stakeholders.
  • Follow-Up and Organization:
    Track action items, deadlines, and outstanding requests to help ensure commitments are completed accurately and on time.
  • Confidentiality:
    Handle sensitive employee, business, and organizational information with professionalism, discretion, and sound judgment.
Qualifications
  • Previous experience as an Executive Assistant, Administrative Assistant, or in a similar administrative support role, preferably supporting multiple leaders or a business function.
  • Strong organizational and time-management skills, with the ability to manage competing priorities and changing deadlines.
  • Excellent written and verbal communication skills, with the ability to communicate professionally across all levels of the organization.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
