SUMMARY

The Workplace Experience Coordinator plays a key role in delivering a high-quality, day-to-day experience for employees and visitors in our AA office. This is a hands-on, fully onsite role responsible for maintaining a clean, organized, and fully functional workplace while supporting front desk coverage, workplace operations, and facility coordination. The primary focus of this role is ensuring the office operates smoothly and consistently reflects M Financial’s standards for a welcoming, professional, and high-end workplace experience.

The Workplace Experience Coordinator will demonstrate strong attention to detail, reliability, a proactive mindset, and pride in maintaining an elevated environment.

RESPONSIBILITIESWorkplace Operations & Environment
  • Maintain a clean, organized, and well-stocked office environment across shared spaces including breakrooms, conference rooms, and common areas
  • Perform routine walkthroughs to ensure spaces are reset, properly configured, and presentation-ready
  • Restock pantry items, supplies, and shared resources
  • Ensure kitchen equipment and shared tools are clean and fully operational
  • Conduct routine checks of restrooms, wellness rooms, and high-traffic areas to maintain standards
Front Desk & Guest Experience
  • Provide professional front desk coverage as part of a rotating team schedule
  • Greet visitors, manage check-in, and notify hosts of arrival
  • Answer and route incoming calls promptly and professionally
  • Support visitor experience through clear communication, coordination, and hospitality
  • Maintain a clean, organized, and welcoming reception area
Inventory & Logistics
  • Monitor inventory levels for pantry, office, and operational supplies
  • Place orders within established budgets and guidelines
  • Receive, inventory, and distribute deliveries across designated areas
  • Maintain appropriate stock levels by avoiding over-ordering and identifying waste
  • Support ongoing cost control and process improvements
Mail & Office Services
  • Manage inbound and outbound mail and packages, including sorting, distribution, and shipping coordination
  • Ensure timely handling of sensitive or priority deliveries
  • Support general office services including printing, supply distribution, and workroom organization
Facilities Coordination
  • Identify and report maintenance issues; coordinate with building management or vendors as needed
  • Submit and track service requests through resolution
  • Assist with vendor coordination and follow-up
  • Support overall functionality and upkeep of the workplace
Employee & Visitor Support
  • Assist with new hire setup including workstation preparation and supplies
  • Prepare temporary work spaces for visiting employees
  • Support event setup including space preparation and stocking
  • Contribute to workplace communications such as newsletters or internal updates, as needed
QUALIFICATIONS
  • High school diploma or equivalent
  • 1–3 years of experience in office support, hospitality, workplace services, or similar role
  • Strong customer service mindset with a professional and approachable demeanor
  • Proven reliability, punctuality, and consistent attendance in an onsite role
  • Ability to stay organized, manage multiple tasks, and work with a sense of urgency
