Our client is seeking a detail-oriented and dependable Mail Operations Specialist to support daily mailroom and document management operations. This role is responsible for receiving, processing, distributing, and tracking mail and packages while ensuring accuracy, security, and efficiency. The ideal candidate enjoys working in a fast-paced environment, remains organized under changing priorities, and takes pride in providing exceptional operational support.
Work Model- On-Site
- Sort and distribute incoming USPS mail to ensure efficient delivery
- Oversee package processing and delivery within the facility
- Execute the preparation and shipment of outgoing mail and packages
- Track and document outgoing shipments accurately
- Recommend cost-effective shipping solutions when beneficial
- Partner with internal departments to coordinate mail and package requests
- Maintain inventory levels of mailroom materials
- Scan documents according to departmental specifications
- Maintain accurate file naming, indexing, and quality control standards
- Support efficient electronic document management processes
- Manage document storage and retrieval requests
- Assist with the organization and maintenance of physical records
- Follow established record retention and document handling procedures
- Maintain a clean, efficient, andorganizedmailroom environment
- Utilize mailroom equipment, including scanners, photocopiers, postage equipment, and pallet jacks
- Provide backup support for operational tasks as needed, including vendor escorting and facility coverage responsibilities
- Assist with additional projects and duties as assigned
- Adhere to all safety, security, and information management procedures
- Recognize and report workplace risks or concerns
- Ensure secure handling of sensitive documents, mail, and packages
- Maintain compliance with company policies and operational standards
- High School Diploma or GED
- 3+ yearsof experience in a mailroom, operations, administrative support,shipping/receiving, or a related environment
- Strong organizational skills and attention to detail
- Excellent time management and prioritization abilities
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Ability tolearnand navigate multiple software applications effectively
- Associate degree (preferred)
- 5+ years of related professional experience (preferred)
- Previous administrative or operational support experience (preferred)
- Strong problem-solving skills and technical aptitude (preferred)
- Ability to sit, stand, and perform repetitive hand movements throughout the workday
- Ability to communicate effectively in person and by phone
- Close vision required for document review, data entry, and scanning activities
