About the Event

The Smart Healthcare Facilities Convention convenes hospital and health system facilities directors, plant operations leaders, capital project owners, and the technology and service providers redefining how healthcare buildings are designed, operated, and maintained. Senior decision‑makers, curated 1:1 meetings, executive round tables, and a tightly produced general session — hosted at the Double Tree by Hilton Dallas Market Center in the Stemmons Corridor.

The Role

We are hiring two (2) Event Operations Assistants to join our on‑site production team for both event windows. This is a pure execution role — there is no pre‑event project work and no post‑event wrap. You arrive on Day 1, you crush it, you go home. Then you do it again in August.

You will report directly to our Conference Logistics & Production Lead and serve as the eyes, ears, and feet of the production team across the show floor, the meeting rooms, and the registration desk.

What You'll Do (On‑Site, Each Event)
  • Run the registration desk — badge pickup, on‑site check‑ins, lost‑badge resolution, last‑minute walk‑up registrations
  • Support speaker and stage operations — green room hospitality, mic’ing handoffs, presentation file checks, stage‑side cueing
  • Float as a problem‑solver — last‑minute room flips, missing centerpieces, sponsor signage adjustments, AV troubleshooting hand‑offs to the AV vendor
  • Vendor and F&B coordination — confirm BEO timing with the Double Tree banquet team, signal kitchen for refreshes, escort vendors to load‑in dock
  • VIP and buyer escort — walk hosted buyers between meeting rooms for their 1:1s, manage executive roundtable check‑ins
  • Capture daily incident notes — anything broken, late, or off‑spec gets logged for the production lead at end of day
  • Strike support — at end of Day 3, assist with sign collection, lost & found, and vendor sign‑off

Expect 10–14 hour days
. This is a fast‑paced, high‑energy convention environment.

What We're Looking For
  • Prior on‑site event experience — at least one prior conference, trade show, large gala, festival, or hotel banquet operation. Doesn't need to be paid; serious volunteer experience counts.
  • Composed under pressure — the show goes wrong somewhere every day. We need people who get steadier when others get rattled.
  • Strong communicator — you'll be speaking with senior healthcare executives, hospital C‑suite buyers, and Fortune 500 sponsor contacts. Professional presentation matters.
  • Available for BOTH event windows (May 27–29 AND August 18–20). Candidates available for only one window will be considered second‑priority.
  • Physically able to be on your feet 10+ hours, lift up to 25 lbs, and walk a large hotel venue repeatedly throughout the day.
  • Local to DFW or able to self‑arrange travel to Dallas for both events. The Double Tree is in the Stemmons Corridor (~10 minutes from Love Field, ~25 minutes from DFW Airport).
  • Authorized to work in the United States.
Compensation & Logistics
  • $23.00/hour
  • Estimated total earnings per event: ~$700–$950 per person (based on 10–14 hour days × 3 days)
  • Estimated total engagement earnings: ~$1,400–$1,900 per person across both events
  • Daily meals on‑site — breakfast, lunch, and any provided receptions
  • Parking validated at the Double Tree
  • BMA‑branded staff polo provided
  • Reference letter from our Production Lead upon successful completion of both events
