The Associate, Operations plays a critical role in ensuring The Commit Partnership's workplace, operational systems, and administrative processes operate efficiently, consistently, and with exceptional service. This role owns the day-to‑day coordination of workplace operations by managing facilities, vendor partnerships, operational systems, employee onboarding logistics, organization-wide events, and office communications that enable staff to focus on advancing student-centered outcomes.
Serving as a trusted operational partner and reporting to the Operations Manager, the Associate serves as project lead on most operations strategy and initiatives, and administers operational systems, develops scalable processes and organizational knowledge resources, and collaborates with the Operations Coordinator and cross‑functional teams to continuously improve the employee experience. Success in this role requires exceptional organization, strong project coordination skills, a customer service mindset, and a passion for building reliable systems that help others succeed.
Salary range: $60,000–$78,000 annually. For external candidates, the expected salary range is approximately $60,000-$69,000 depending on experience, qualifications, and internal equity.
Essential Duties and Responsibilities- Office Operations & Workplace Experience
- Coordinate the day-to-day operations of Commit's workplace, ensuring a safe, organized, functional, and welcoming office environment.
- Conduct routine office walkthroughs to identify maintenance, safety, and operational needs while coordinating timely resolution in accordance with organizational safety standards.
- Coordinate workplace communications, visitor experience, and office operations in partnership with the Operations Coordinator.
- Partner with internal teams to anticipate workplace needs and implement operational solutions that enhance the employee experience.
- Facilities, Vendor & Administrative Coordination
- Coordinate facilities requests, maintenance, repairs, and communications with property management and external vendors.
- Manage day-to-day vendor relationships, including service scheduling, contract documentation, performance tracking, and renewal management.
- Administer procurement processes, purchase requests, operational purchasing, and invoice approvals in accordance with organizational policies.
- Coordinate annual operational renewals, recurring vendor agreements, subscriptions, and facility-related contracts while maintaining accurate documentation and renewal schedules.
- Lead operational workplace improvement initiatives, including office moves, equipment replacements, furniture coordination, on-site and off-site inventory, seating chart and office enhancements.
- Operational Systems & Process Support
- Administer and continuously enhance Commit's internal service management platform (Fresh service), ensuring Operations team requests are appropriately triaged, assigned, tracked, and resolved while supporting the platform's ongoing development and adoption across the organization.
- Design, build, and maintain service workflows, request forms, automations, request categories, and operational processes within Fresh service to improve efficiency, consistency, and the employee experience.
- Develop and maintain Commit's operational knowledge base, including knowledge articles, organizational policies, best practices, standard operating procedures (SOPs), workflows, and process documentation that support consistent service delivery and organizational learning.
- Monitor service requests, platform performance, and operational metrics to identify trends, recommend improvements, and strengthen internal operations.
- Maintain operational calendars, recurring maintenance schedules, renewal trackers, and other administrative systems that support workplace operations.
- Generate operational reports, dashboards, and documentation that support planning, resource management, and continuous improvement initiatives.
