Property Tax Operations & Support SpecialistThe Role
Property tax deadlines don't move — and that's exactly why this job matters. You'll be the person who makes sure nothing falls through the cracks: filings go out on time, client records stay clean, and the consultants on your team can focus on strategy instead of chasing paperwork.
This isn't a "sit and file" job. You'll own a portfolio alongside 2–3 consultants, talk directly with appraisal districts and collectors, and become the go-to person for how things get done around here. What You'll Actually Be Doing Keeping the office running- Answering incoming calls, handling incoming and outgoing mail, data entry, and filing
- Preparing and mailing Business Personal Property Tax Returns, Extensions, Protests, and Penalty Waivers via Fed Ex and Certified Mail — including drop-offs and tracking every receipt
- Keeping client data current in the property tax software (values, deadlines, hearing calendars, notes, and authorizations on file with the appropriate appraisal district)
- Saving and organizing documents across shared drives — returns, work papers, hearing notices, freeport determinations, assessment notices, protest forms, settlements, board orders, and tax bills
- Pulling client-uploaded documents from Dropbox and getting them where they need to live
- Reaching out to assessors, appraisal districts, and collectors for missing notices, work papers, hearing info, or tax bills
- Keeping assessor, collector, and client contact info accurate and up to date
- Jumping on emails addressed to or copied to you if your team hasn't already responded — you're a safety net, not an afterthought
- Processing tax bills, including updating tax rates and amounts due
- Running weekly reports to track deadlines across returns, protests, unscheduled appeals, and hearings
- Adding new clients and parcels as your portfolio grows into the database
- Cross-training a teammate so your work doesn't stall when you're out on PTO
- You're detail-oriented and self-motivated — nobody has to check your work twice
- You manage your time well and can juggle multiple deadlines without dropping any of them
- You stay level-headed when things get busy (and during tax season, things get busy)
- You communicate clearly, in writing and out loud, and you follow instructions the same way
- You're comfortable in Excel, Word, and Outlook
- You can flex your schedule — some overtime and weekend work during March through May comes with the territory
- High school diploma or GED required;
Associate's degree a plus - 2+ years of administrative experience required
- Property tax experience preferred, but not required — we'll teach you the industry-specific parts
