Position

Summary

Stagen Leadership Academy is looking for a detail-oriented and driven Fulfillment Specialist to join our Account Services Team. This role is essential to ensuring our program materials are produced, managed, and delivered with precision and care. Supporting the seamless execution of client programs from start to finish. The ideal candidate thrives in a fast-paced environment, takes ownership of their work, and brings a high level of accuracy and follow-through to everything they do.

This role reports directly to the Manager of Program Managment.

Job Responsibilities
  • Manage the end-to-end pipeline of inventory, production, and purchasing workflows—proactively identifying needs, prioritizing requests, and ensuring timely execution to support program delivery. Efficiently & accurately produce all materials to support delivery according to the Program Service Models
  • Own forecasting and purchasing processes to ensure optimal inventory levels, accurate sales and purchase orders, and precise cost of goods sold (COGS) tracking at the opportunity level
  • Efficiently & accurately print, pull inventory, assemble and ship materials to support assigned Program / Course Delivery and other special projects
  • Manage outbound shipping of program materials, including carrier coordination, tracking, and ensuring timely delivery to program sites and participants
Inventory Management
  • Accurately receive all incoming inventory, including unloading, unboxing, and organizing materials delivered to the operations area. Verify item type, quantity, and condition, perform quality control checks, and document all received inventory details. Communicate what was received, when, and in what quantity on a consistent cadence to the Account Services Associate and promptly report any discrepancies or issues
  • Manage program / course inventory as directed by Manager
  • Manage printer maintenance and supplies to ensure seamless production operations. Submit and manage support tickets with SOS as needed
  • Participate in monthly inventory cycle counts in coordination with the Account Services team to maintain inventory accuracy
Data Integrity
  • Partner with Accounting to ensure seamless data flow between inventory systems and Salesforce, maintaining accurate and reliable COGS reporting across all opportunities
  • Ensure accurate inventory counts by maintaining inventory purchase and sales orders in inventory systems and resolve any discrepancies
Service Model & Quality Control
  • Help in the building and improvement of the Account Services Service Model
  • Ensure that the service model is followed and improved
  • Ensure all client-facing materials and internal documents meet quality standards and reflect a high level of professionalism and accuracy
  • Maintain standards in the Account Services Department by assisting in quality control processes as assigned
Qualifications
  • Skills in Packing and Inventory Management, with the ability to ensure efficiency and accuracy in order fulfillment.
  • Strong Customer Service skills and a commitment to providing excellent client experiences.
  • Experience in Inventory Control and a proven ability to maintain organized and accurate stock records.
  • Exceptional communication (verbal, written, and presentation) skills
  • Strong organizational skills with high level of attention to detail and follow-through
  • Proficiency in using inflow inventory management software is a plus
  • Proficiency in using Salesforce is a plus
  • High school diploma or equivalent; additional certifications or relevant education is an advantage
