Construction Project Assistant

McMillen, Inc. is looking for a Construction Project Assistant to join the Construction team in our Dallas, TX office. This role supports daily construction operations in a fast-paced environment and is responsible for assisting with project‑specific paperwork, reporting, preconstruction, job start‑up, and closeout efforts. This role is ideal for a highly organized, proactive professional who enjoys variety in their workday.

All Construction Division offers of employment are contingent upon the successful completion of a background check and drug screen. In accordance with client requirements, security clearance is required and is determined based on background check results.

Essential Duties and Responsibilities
  • Understands pre‑construction and construction processes.
  • Reads, analyzes, and identifies scopes of work on construction plans, specifications, and contract documents.
  • Creates, organizes, and updates project files to ensure consistency and efficiency.
  • Collaborates with the accounting department on behalf of the project teams to review and approve invoices by matching invoices to the schedule of values from vendors and subcontractors.
  • Logs, tracks, and processes RFIs and submittals, ensuring all changes are routed to the proper field.
  • Collects, tracks, and verifies partial and final lien waivers from subcontractors and vendors.
  • Assists in issuing POs, processing invoices, and matching costs against the budget to prevent overspending.
  • Coordinates new project start‑up, month‑end reporting, and project closeout.
  • Understands Davis Bacon and Prevailing Wage with the ability to source wage rates and navigate appropriate websites.
  • Assists project teams with supply ordering to include safety signage, PPE, drug testing kits, etc.
  • Maintains strong working relationships with project teams, subcontractors, and vendors.
  • Follows direction from Project Managers and incorporates feedback as needed.
  • Ability to travel on an as‑needed basis to project sites or company events.
  • Regular, predictable attendance is required.
  • Ability to get along and work effectively with others.
Education & Experience
  • Associate’s degree (A.A.) or five to seven years related experience supporting construction project teams in a fast‑paced environment; or equivalent combination of education and experience.
  • Proficient in Microsoft 365, including Excel, Word, PowerPoint, SharePoint, Forms, and Teams; and Smartsheet. Experience with Heavy Job/Heavy Bid preferred.
  • Exceptional verbal and written communication skills with a polished, professional demeanor, and ability to interact professionally across all levels of the organization.
  • Strong problem‑solving skills with the ability to exercise sound judgement under pressure and pivot rapidly, without direct supervision.
  • Outstanding organizational skills with the ability to manage multiple tasks, prioritize, and meet deadlines in a fast‑paced environment while maintaining exceptional attention to detail and accuracy.
Compensation Package
  • Pay Range: $71,000 – $89,000 (DOE)
  • Benefits: McMillen provides a full Benefits Program comprising medical, dental, vision, life, disability, FSA, HSA, EAP, 401(k) and match, 9 paid holidays, generous PTO, opportunity for stock ownership, and wellness reimbursement.
