Position Description

The Associate Director of Admission, Director of Outreach serves as a key member of the Admission and Enrollment Management team, supporting the recruitment, evaluation, and enrollment of students from Pre‑K 3 through 8th grade. This role leads outreach initiatives, manages admission events, and fosters meaningful connections with prospective families, feeder schools, and the broader community. Success in this role depends on strong collaboration with faculty, staff, and leadership to deliver a cohesive and engaging admission experience.

Key

Accountabilities Admissions and Application Review
  • Evaluate applications for students in Pre‑K3 through 8th grade and present insights to the Admission Committee
  • Collaborate with the Admission Team to develop strategies targeting key audiences
  • Contribute to the continuous improvement of the admissions process and applicant experience
Event Planning and Campus Tours
  • Plan and execute campus-wide admission events involving faculty, staff, and administrators
  • Design events tailored to specific audiences to ensure meaningful engagement
  • Conduct campus tours for prospective families and guests
  • Organize onboarding events for newly enrolled families (e.g., parent socials, orientation programs)
Admission Student Ambassador Program (ASAP)
  • Partner with Middle School leadership to develop application and interview processes
  • Design and implement ambassador training, including communication, tour leadership, and School knowledge
  • Create tour resources and materials
  • Lead meetings and maintain consistent communication with student ambassadors
Communication and Relationship Management
  • Serves as initial contact for families inquiring about admission
  • Respond to inquiries via email and phone in a timely and professional manner
  • Draft and distribute admission-related communications to large audiences
  • Coordinate with faculty and staff regarding classroom visits, evaluations, and admission needs
  • Build relationships with prospective families, current families, and external School partners
Program Knowledge and Representation
  • Maintain a strong understanding of Early Childhood and Middle School curricula and programs
  • Effectively communicate the unique aspects of the School experience to prospective families
  • Stay informed on daily campus activities, academic schedules, and special events to enhance tours and conversations
Applicant Evaluation and Shadow Visits
  • Collaborate with leadership and faculty to design assessment tools aligned with the School’s mission
  • Train staff on admission evaluation and interview expectations

    Coordinate and oversee student shadow visits, including scheduling and feedback collection
  • Manage documentation and records related to applicant evaluations
Outreach and Partnerships
  • Serve as liaison to feeder schools through visits and events
  • Represent the School at fairs, information sessions, and community events
  • Partner with the Parents Association to coordinate admission-related volunteer initiatives
Surveys, Forms and Data Management
  • Create and manage surveys and forms for internal and external audiences
  • Maintain accurate applicant data and records
Marketing and Communications Collaboration
  • Partner with the Communications team to ensure accurate and engaging admission content across platforms
  • Assist in the development of marketing materials, videos, and promotional items
  • Support branding efforts for admission events and outreach initiatives
Technology and Systems
  • Utilize admission platforms and databases effectively
  • Create and manage spreadsheets, mail merges, and event materials
  • Support data tracking and reporting needs
