Job Summary

Under the guidance of the EDCME, the Enrollment Manager ensures the district meets enrollment goals by overseeing student enrollment, registration, and admission. The role involves determining eligibility, collecting and entering all campus student information into the district student information system (SIS), maintaining accurate records, and ensuring compliance with PEIMS data entry requirements. The manager also supports district attendance processes as needed.

This job description identifies the essential functions and requirements of the position. The incumbent may be requested to perform job-related responsibilities and tasks beyond those listed below.

  • Oversee enrollment, registration, admission, and withdrawal of students and processes applicable records, providing timely support to families.
  • Request new student records via TREx upon enrollment and respond to all TREx requests received from other schools within ten business days, as required by TEA.
  • Review all pre‑kindergarten applications to ensure eligibility using Texas Education Agency’s qualifying reasons.
  • Collaborate with Marketing & Recruitment on student recruitment activities.
  • Ensure the accuracy and thorough completion of all student registration packets and determine eligibility for enrollment.
  • Communicate with campus administrators and special program coordinators to identify missing or incorrect information in physical and electronic student data files.
  • Print at‑risk forms for all new students after enrollment data is entered into the SIS and provide them to principals for completion.
  • Support campus‑wide attendance processes and maintain campus‑wide compliance, accuracy, and timeliness.
  • Assist with student attendance and truancy responsibilities by providing data and reports, printing, mailing and following up with parents on truancy letters.
  • Ensure substitute teachers process attendance correctly in the absence of the teacher of record.
  • Correct applicable data anomalies that may indicate data errors or incorrect coding under the guidance of the PEIMS Director.
  • Assist with the teacher of record audit during the first and fourth six‑week FSP reporting periods, obtain appropriate teacher signatures, maintain signed rosters for audit purposes, and ensure the PEIMS Director receives copies.
  • Assist principals and counselors with campus and student scheduling.
  • Process and transmit requests for student information, including verification of enrollment and transcripts, in a timely manner.
  • Maintain student transcripts.
  • Ensure transfer grades and GPAs are calculated correctly and reflected appropriately in the SIS.
  • Perform other duties as assigned.

Skills and Abilities
  • Strong sense of urgency and accuracy in carrying out job responsibilities.
  • Ability to identify implied tasks when assisting in daily campus operations.
  • Ability to prioritize, multi‑task and organize work.
  • Ability to identify and correct data anomalies that may indicate data errors or incorrect coding.
  • Must be able to work in an open area office environment.
  • Fluency with Microsoft Word and Microsoft Excel is required; intermediate functions are preferred.
Supervisory Responsibilities
  • Interview, hire and train designated enrollment staff and ambassadors in the department.
  • Provide constructive and timely performance evaluations following district policies.
  • Organize and oversee schedules and work staff.
  • Handle discipline of employees as needed in accordance with district policy and the guidance of the department head.

Minimum Qualifications

Education and Experience
  • High School Diploma or GED required; bachelor’s degree preferred.
  • Three years of experience as a registrar, enrollment or admissions clerk or any other district position associated with collection and data entry into a student information system is preferred.
  • Bilingual English/Spanish required.
  • Valid Texas driver’s license or State .
  • Reliable means of transportation.
Physical Requirements
  • Light to moderate lifting up to 25 lbs.
  • Sitting for long periods; repetitive motions.
  • Ability to travel to district/campus locations.
  • Ability to set up, stand and walk for long periods at district events.
