SummaryThe Accounts Payable Specialist is responsible for managing the full accounts payable cycle with a strong emphasis on research, reconciliation, and issue resolution. This role heavily involves investigating discrepancies, analyzing invoice and payment data, and ensuring accuracy across vendor accounts. The ideal candidate has strong problem‑solving abilities, thrives in a detail‑driven environment, and excels at researching and resolving complex AP issues.
This position will support our Accounts Payable team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. This position is based out of our North Dallas office in Dallas, TX.
Essential Duties & ResponsibilitiesInvoice processing, including 3‑way & 2‑way matching, coding, and appropriate approval workflow.
Process domestic and international wire payments, ensuring accuracy of banking details, authorization, and timely execution.
Manage vendor prepayments by reviewing requests, confirming supporting documentation, and ensuring all prepayments follow internal approval workflow.
Track prepayments through completion and reconcile them against final invoices to ensure accurate application and resolution.
Conduct in‑depth research on invoice discrepancies, unmatched POs, pricing issues, duplicate payments, and vendor inquiries.
Investigate and resolve aging items, debit balances, and GR/IR discrepancies.
Review and reconcile vendor statements to ensure accurate and timely resolution of outstanding issues.
Support internal and external audits by researching historical transactions and providing documentation.
Collaborate cross‑functionally with procurement, operations, and finance teams to resolve issues promptly.
Identify opportunities for workflow improvements and assist with AP best‑practice initiatives.
High School Diploma or Equivalent is required.
3–5 years of hands‑on Accounts Payable experience, including full-cycle processing.
Strong research and analytical skills with the ability to independently troubleshoot complex AP issues.
Experience with ERP/AP systems; SAP and Coupa experience a plus but not required.
Intermediate Excel skills, including the ability to use functions such as VLOOKUP/XLOOKUP, filters, pivot tables, and basic formulas for data review.
Solid understanding of accounting principles, vendor reconciliations, and AP workflow.
Experience with prepayment workflows and practices.
Excellent attention to detail, accuracy, and follow‑through on open items.
Strong communication skills and customer‑service mindset.
Ability to work efficiently in a fast‑paced environment and manage competing priorities.
