Job Description
  • Wealth Management Operations (WMO) provides end-to-end operational support that drives the client experience for Wealth Management advisory partners and their clients.
  • Within WMO, the Wealth Management Specialty Operations teams execute manual processes and monitor automated processes to accurately move and/or protect assets and account information according to special product needs or legal orders.
  • The product needs include oil and gas revenue, servicing fees, abandoned properties, remediation payments and restricted/specialized securities.
  • Legal orders include subpoenas, levies, freeze orders and requests for information or documents.
  • Assets are investments or securities that have value and can be exchanged, owned, or sold to produce a profit or future benefits, for example cash, stocks and bonds, mutual funds, money markets, fixed incomes, and equities.
Team Description
  • Upon the receipt of a civil legal order (subpoena or freeze order), internal data request, or deceased account report, the Legal Operations team ensures account restrictions are applied, requested documents and data are gathered, and protective maintenance is added as required.
  • Once the requested data and documents are provided or account restrictions are applied, the team manages the transaction through receiving a release, send pay order instructions to the branch, provide requested documents to internal/external requestor or receipt of a protective maintenance removal request.
  • These activities are performed when a civil legal order, internal requests, or deceased account notifications are received through established channels.
A successful Information Management Analyst on this team
  • Data Management & Movement:
    Ensures accurate and timely gathering of client data and/or restricting client accounts according to established guidelines and internal procedures, maintaining proper documentation to support compliance and operational integrity.
  • Client Inquiry Management:
    Delivers timely and accurate resolutions to moderately complex client inquiries related to legal orders, subpoenas, and account restrictions via branch email by researching issues using internal systems and collaborating with Legal partners, Front-Line Units, and other internal departments, improving client experience and operational efficiency.
  • Documentation Review & Approval:
    Validates and approves required legal and account documentation for completeness, accuracy, and compliance, ensuring adherence to internal legal guidance and risk standards and escalating discrepancies to Legal Operations leadership or designated risk team to mitigate risk and maintain audit readiness.
  • Risk Identification & Process Improvement:
    Identifies operational risks and process improvement opportunities, evaluates upstream and downstream impacts of data management and account restriction processes, and recommends enhancements that reduce errors, strengthen compliance, and align with enterprise standards and regulatory requirements.
  • Knowledge Sharing & Training:
    Maintains expertise in legal operations processes, systems, and procedures and supports training for less experienced team members or new hires, sharing best practices to ensure consistent execution and adherence to standards.
  • Process Expertise:
    Understands the process flow from end to end including the reasons for each step, the process controls, the risks within the process and the upstream/downstream impacts of their work based on an understanding of how the work impacts other operational units.
