Description
The Intake Coordinator serves as the first point of contact for prospective clients seeking mental health services. This role is responsible for conducting initial screenings, gathering demographic and insurance information, coordinating assessments, verifying benefits, and ensuring clients are appropriately scheduled and referred. The Intake Coordinator plays a critical role in client access, compliance, and continuity of care.
RequirementsKey Responsibilities
- Respond to incoming calls, referrals, and online inquiries in a timely and professional manner
- Conduct initial screening interviews to determine service needs and level of care
- Collect demographic, insurance, and referral information
- Explain services, program requirements, policies, and financial obligations
- Schedule intake assessments and appointments
- Coordinate with clinical staff regarding availability and client needs
- Maintain accurate scheduling records in EHR system
- Follow up with clients to confirm appointments and obtain required documentation
- Verify insurance eligibility and benefits
- Obtain authorizations when required
- Communicate financial responsibility to clients
- Coordinate with billing department as needed
- Enter accurate client information into Electronic Health Record (EHR)
- Ensure completion of required consent forms and releases
Maintain confidentiality in compliance with HIPAA - Track referral sources and intake metrics
- Provide appropriate referrals when services are not a fit
- Assist clients in navigating crisis resources when necessary
- Coordinate hand-offs to clinical providers
- High school diploma or equivalent (Associate’s or Bachelor’s preferred)
- 1–2 years experience in healthcare, behavioral health, or medical office setting
- Knowledge of HIPAA and patient confidentiality standards
- Strong customer service and communication skills
- Experience with EHR systems
- Experience in mental health or substance use treatment settings
- Knowledge of insurance verification and prior authorization processes
- Crisis triage or behavioral health screening experience
