MULTI-SITE OPERATIONS MANAGER Texas Institute for Neurological Disorders / US Neurology Associates

Schedule: Full-Time
Location: Multi-Site, Dallas-Fort Worth Area
The Multi-Site Operations Manager is responsible for the operational, financial, and patient access performance of three to five TIND/USNA outpatient neurology clinics
.
This leader partners closely with physicians and operational departments to improve provider productivity, patient experience, referral growth, staffing effectiveness, and overall clinic performance
, while ensuring standardized operational execution across all assigned locations.
- Own daily operational performance across assigned clinic sites, including scheduling throughput, patient flow, front office execution, and staffing coverage.
- Monitor site-level key performance indicators, including new patient access, no-show and cancellation rates, provider utilization, referral conversion, patient satisfaction, visit completion rate, and ancillary utilization such as EEG, sleep, and infusion.
- Drive corrective action when assigned sites are not meeting performance expectations.
- Serve as the escalation point for operational issues at assigned sites and resolve barriers that prevent staff from working effectively.
- Ensure consistent application of company policies, workflows, and patient experience standards across all assigned locations.
- Partner with scheduling, patient services, and clinical leadership to troubleshoot cross-functional issues affecting site performance.
- Conduct regular site visits and huddles with clinic managers and staff at each assigned location.
- Manage site-level budgets, forecast expenses, and monitor labor and supply costs against established targets.
- Manage vendor relationships and supply ordering for assigned clinics and monitor or renew site-level contractual agreements as needed.
- Monitor key financial metrics, including labor expense, overtime, supply costs, provider productivity, and revenue opportunities.
- Identify workflow inefficiencies and lead operational improvement initiatives that increase efficiency, reduce patient wait times, and improve provider capacity.
- Directly or matrix-manage clinic-level staff and site managers across assigned locations.
- Establish clear expectations and hold teams accountable to performance standards.
- Recruit, hire, train, and onboard front office and support staff at assigned sites.
- Evaluate staff performance, approve hours worked, and manage counseling or disciplinary action as needed in partnership with Human Resources.
- Drive staff retention and engagement through recognition, development opportunities, and a positive team culture.
- Develop future clinic leaders through coaching, mentoring, and structured development plans.
- Foster a culture of accountability, patient-centered service, and continuous improvement across all assigned clinics.
- Act as the operational partner to physicians and advanced practice providers at assigned sites.
- Support provider schedules, template management, and productivity targets.
- Build and maintain effective, professional working relationships with physicians.
- Proactively address operational concerns before they escalte.
- Communicate organizational priorities and changes to providers with clarity and appropriate context.
- Represent provider concerns to senior operations leadership.
- Support the onboarding and volume ramp-up of new physicians and advanced practice providers.
- Build physician trust through proactive communication, responsiveness, and consistent follow-through.
- Conduct routine outreach to physician offices, hospitals, employers, and community organizations to strengthen referral relationships and increase patient volume.
- Identify new referral source opportunities.
- Partner with marketing on collateral, messaging, and campaigns that support referral growth.
- Track referral source activity and patient volume trends by site.
- Share insights with leadership to help prioritize outreach efforts.
- Ensure compliance with OSHA, HIPAA, CMS, accreditation requirements, and company policies
. - Partner with Compliance and Quality departments to address audits and corrective action plans.
- Minimum of five years of medical practice management experience
, ideally within a multi-site or multi-specialty outpatient setting. - Bachelor’s degree required.
- Demonstrated experience managing or working directly with physicians and advanced practice providers.
- Comfort engaging in marketing and community outreach activities, including relationship-building with referral sources and representing the organization externally.
- Strong working knowledge of clinic operations, including scheduling, patient access, front office workflows, and staffing models.
- Experience with electronic health record and practice management systems.
