New Patient & Intake Representative – Medical Front Office

Bliss Speech and Hearing Services is growing, and we are looking for a warm, organized, and highly responsive New Patient & Intake Representative to join our administrative team.

This is a fast-paced, patient-facing medical front office role for someone who genuinely enjoys helping people, is confident on the phone, and understands that the first interaction a patient has with Bliss matters. Regularly scheduled hours are 8:30am to 5:30pm Monday through Friday.

What You’ll Do

Own the New Patient Phone Experience (answer new-patient calls and inquiries promptly and professionally, return missed calls and voicemails as quickly as possible, and guide patients through the next steps of the intake process with warmth and compassion)

New Patient Intake (collect all required patient information leading up to the first appointment, assist families with the intake process, and coordinate referrals, insurance verification and authorization as needed)

Schedule & Coordinate Care (following the scheduling guidance and direction of our Intake Coordinator, schedule new patient evaluations and ongoing therapy appointments, including reschedules and cancellations, match patients with the appropriate Bliss location and speech or hearing provider, monitor openings, cancellations, and waitlists to maximize appointment capacity, and communicate scheduling questions and changes clearly and accurately)

Front Office Support (greet patients and families warmly on arrival, check patients in and out, maintain a welcoming and organized reception area, assist with scanning, uploading, filing, and general administrative tasks, answer general questions and direct patients to the right team member, and protect patient privacy and HIPAA compliance at all times)

This is a new, dedicated position created to support our continued growth. Working alongside our Intake Coordinator, you will help ensure every new patient receives a fast response and a great experience, even during high-volume periods.

Excellent on the phone and comfortable speaking with patients, parents, and guardians, with a warm and professional communication style.

Highly organized and able to manage multiple conversations and tasks at once, with accurate documentation.
Comfortable in a fast-paced medical office and quick to learn new software.
Calm, dependable, reliable, and punctual, even during busy periods.
Takes ownership and follows through independently while being a strong team player.

You may be a great fit if you have experience in front office medical office, reception, scheduling, or patient intake; call center or customer service; insurance, healthcare administration, or referral coordination; speech therapy, audiology, or other healthcare setting; or a high-volume phone environment.
