BasicPosition Responsibilities:
The Medical Records Associate is responsible for maintaining and inputting the digital records and data for the nursing department and performing administrative duties for the nursing department. The Medical Records Associate is also the liaison with insurance companies to provide status updates.
- Timely and accurately input information such as physician’s orders, med sheets, and diet diagnosis treatments into the appropriate computer system on a daily basis.
- Print physician orders and med sheets every 90 days and flow sheets and treatment sheets every 30 days for all nursing stations.
- Update resident information such as annual diagnosis, change of physicians on a daily basis.
- Maintain a current file of residents and corresponding insurance information as requested.
- Round daily at nursing stations to collect required forms and medical records.
- Timely and accurately type letters and correspondence, nursing forms, in-service forms, and all policies and procedures as directed by the Director of Nursing, Assistant Director of Nursing, and Administrator.
- Communicate with insurance liaisons and submit all requested/required records timely.
- Collect and submit data and information as it pertains to Long Term Care insurance policies.
- Process invoice charges in accordance with established procedures within specified deadlines.
- Assist with reviewing monthly statements as directed and updating with applicable insurance records.
- Assist with other as needed tasks as they pertain to resident care documentation and managed care insurance.
- Follow up with Medical Records Requests per Buckner specified timelines and state and federal regulations.
- Assist with the pulling of records for audits and other records requests.
- Maintain compliance with all Buckner policies, procedures and requirements. Maintain compliance with all state and federal laws and regulatory requirements.
- Work successfully as part of a team and responsible for developing then maintaining strong working relationships with co-workers.
- Attend staff meetings and training as required.
- Perform general office tasks as required.
- Perform special assignments, projects, and other duties as required.
- High school diploma (or G.E.D.) required. Minimum 1 year prior related experience in medical records clinical data, or health insurance administration.
- Requires proficient ability to speak, read and write English.
- Requires ability to communicate verbally with residents, families, visitors and co-workers. Requires ability to make self clearly understood by others.
- Requires working knowledge of medical terminology; ability to recognize changes in residents’ appearance, attitude, and condition.
- Requires prior experience in electronic medical records or health insurance systems.
- Work deals mostly with areas such as preparing and reading data and figures, client records, medical orders, visual inspection involving small details, using measurement devices, dispensing medicines. Visual work is primarily close to observer. Depth perception to distinguish small details and markings very near to the observer. Color perception for some tasks (e.g., dispensing medications, assessment of resident condition) is important.
- Position requires bending, stooping, twisting, turning, reaching, lifting, carrying, pulling, pushing, climbing, kneeling, walking, and standing over 75% of shift.
- Requires ability to recognize differences in sound, such as voices/noises that are loud and playful instead of angry and combative.
- Requires ability to exercise independent judgment under broad nursing case guidelines. Exercises initiative, patience, tact, and confidentiality; demonstrates administrative and leadership ability; ability to analyze and evaluate objectively. Works under little direct supervision.
- Requires ability to establish and maintenance effective working relationships with other employees and the public; ability to meet emotional and physical demands of residents and to help insure their dignity.
- Requires ability to maintain composure, positive attitude and awareness of priorities in an environment of stress and frequent interruptions.
- Requires ability to keep somewhat detailed records and prepare routine reports.
