Role DescriptionThe Claims Coordinator is a critical member of the claims and operations team and serves as a central point of coordination for property damage claims from initial assignment through billing and final resolution.
This is a full-time, on-site position based in Grapevine, TX. The Claims Coordinator is responsible for proactively managing claim files, maintaining accurate documentation, coordinating communication between internal teams and external stakeholders, and helping ensure files continue moving toward timely resolution.
This role requires someone who is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities successful candidate will not simply track claims, they will take ownership of their files, identify what is needed next, follow up proactively, and work across teams to remove obstacles that could delay the customer, project, or payment process.
Key Responsibilities- Own and coordinate assigned claim files from initial notification through completion, billing, and closeout.
- Review new assignments and claim information to ensure required documentation, contacts, loss details, and other critical information are captured accurately.
- Maintain complete, organized, and up-to-date claim files within company systems, including notes, documentation, correspondence, estimates, invoices, approvals, and supporting materials.
- Serve as a key communication point between customers, insurance carriers, adjusters, project managers, estimators, production teams, accounting, and other internal departments.
- Proactively communicate claim status, outstanding requirements, approvals, documentation needs, and next steps to appropriate stakeholders.
- Track claim activity and follow up on outstanding items to prevent unnecessary delays and keep files progressing toward resolution.
- Review estimates, invoices, supporting documentation, and claim information for accuracy and completeness before submission.
- Prepare and submit required documentation to insurance carriers, adjusters, customers, and other stakeholders.
- Assist with carrier questions, documentation requests, estimate revisions, supplements, approvals, and other claim-related follow-up.
- Monitor files for potential issues, discrepancies, and delays and escalate concerns appropriately before they negatively impact the customer experience, project timeline, or billing process.
- Support timely billing and collections by ensuring required claim documentation and approvals are obtained and properly recorded.
- Maintain detailed notes and documentation so that claim status, communication history, outstanding items, and next actions are clear to anyone reviewing the file.
- Partner with project and production teams to support a smooth handoff between mitigation, reconstruction, and other phases of the customer journey.
- Participate in file reviews and collaborate with team members to ensure established processes, documentation standards, and service expectations are consistently followed.
- Review claim outcomes and recurring challenges to help identify opportunities for process improvement, increased efficiency, and an improved customer experience.
- Support departmental performance goals and key metrics related to claim progression, documentation quality, billing timeliness, and file completion.
Required:
- 2 - 3 years of experience in claims coordination, insurance, customer service, or administrative support.
- Excellent organizational, communication, and follow-up skills.
- Ability to manage multiple claims, deadlines, and priorities in a fast-paced environment.
- Strong attention to detail and ability to maintain accurate, complete documentation.
- Proficiency with Microsoft Office Suite and claims or project management platforms.
- High school diploma or equivalent.
- Experience in restoration, construction, property damage, or insurance claims.
