Assistant Project Manager Job Description Position Summary

The Assistant Project Manager (APM) provides essential administrative, technical, and logistical support to the Project Manager (PM), acting as the primary hub for project documentation, controls, and procurement coordination. The APM ensures alignment between the engineering/office team and the field construction team, driving the processes necessary for timely execution, budget adherence, and quality compliance in midstream construction projects.

  • Reports To: Project Manager (PM).
  • Supervises: Project Administrator(s) and Document Control Personnel.

Roles and Responsibilities 1. Project Controls and Reporting Support
  • Budget Tracking: Assist the PM in monitoring the project budget (Cost at Completion - CAC) by tracking daily labor, equipment utilization, and material costs against the budget.
  • Progress Verification: Work closely with the Superintendents and Project Controls Specialist to verify quantity install reporting and ensure accurate physical progress updates are reflected in Procore and the Project Tracker.
  • Invoice Processing: Review and process vendor and subcontractor invoices, ensuring proper cost coding and adherence to contractual terms before submission to the PM for final approval.
  • Risk Documentation: Maintain the project's risk register and log all potential cost impacts, delays, and scope gaps identified by the field team.
2. Field Coordination and Logistical Readiness (30'/30' Support)
  • Procurement Liaison: Serve as the primary liaison between the construction site and the Procurement team. Track all critical material and equipment delivery schedules to prevent site delays.
  • Materials Management: Coordinate with the Materials/Logistics personnel to confirm materials are received, inspected, and staged according to the 30'/30' readiness initiative. Immediately flag any materials that are late or incorrect.
  • Subcontractor Mobilization: Coordinate the mobilization and demobilization schedules for specialty subcontractors, ensuring all required insurance and onboarding documentation is complete prior to site access.
3. Documentation and Compliance Management
  • RFI Management: Own the Request for Information (RFI) process. Draft, log, track, and expedite all RFIs to the Engineering team for timely response. Distribute RFI responses immediately to the Construction Manager and Superintendents.
  • Change Documentation: Manage the Change Order (CO) documentation process. Ensure all field-directed changes are properly captured, quantified, and submitted to the PM for formal CO processing.
  • Quality Documentation: Ensure all Quality Control (QC) documentation (inspection logs, weld maps, material test reports, NDT results) is submitted, organized, and filed correctly in the Project Management Information System (Procore).
  • Permitting Support: Assist in gathering necessary information and documentation for permit applications and renewals.
Required

Skills and Qualifications
  • Education: Bachelor’s Degree in Construction Management, Engineering, or a related field.
  • Experience: Minimum of 3 years of experience in project engineering, project coordination, or construction management, with exposure to midstream, heavy industrial, or oil & gas projects.
  • Technical Proficiency: Proficient in project management software (e.g., Procore, Primavera P6 viewer) and Microsoft Office Suite (Excel expertise required for cost tracking).
  • Attributes: Strong organizational skills, high attention to detail, exceptional written and verbal communication, and the ability to manage multiple priorities in a fast-paced environment.
