Position Summary

The Director of Loss Prevention & Expense Control is a strategic leadership role responsible for safeguarding financial integrity and ensuring operational accountability across a national multifamily portfolio of approximately 20,000 units.

This position will oversee expense monitoring, vendor compliance, and field verification of completed work. Through financial analysis, on‑site inspections, and process audits, the Director will identify cost‑saving opportunities, mitigate risk, and ensure company resources are used efficiently and ethically.

This role is ideal for a highly analytical professional with strong knowledge of multifamily maintenance or construction who can balance operational realities with financial discipline.

Key Responsibilities Expense Monitoring & Financial Oversight
  • Review property‑level financials, invoices, and general ledger activity to identify irregularities, high costs, or unusual trends.
  • Audit unit turns expenses, repair costs, and capital project invoices to validate scope, pricing, and necessity.
  • Analyze vendor pricing across regions to ensure consistency, competitiveness, and contract compliance.
  • Partner with operations and accounting teams to implement cost benchmarks and standardized controls.
  • Identify measurable savings opportunities and provide actionable recommendations to leadership.
Field Inspections & Work Verification
  • Conduct scheduled and unannounced site visits to verify completed work and confirm billing accuracy.
  • Inspect unit turns, large repairs, and capital projects to ensure quality, completion, and scope alignment.
  • Confirm materials billed were installed and services rendered meet company standards.
  • Evaluate make‑ready processes and maintenance practices to ensure efficiency and consistency.
Vendor Compliance & Risk Mitigation
  • Monitor vendor relationships to ensure adherence to company procurement policies and contracts.
  • Identify potential overbilling, duplicate charges, conflicts of interest, or fraudulent activity.
  • Assist in establishing and enforcing vendor qualification and approval procedures.
  • Support insurance claim reviews to confirm proper use of funds and project completion.
Reporting & Controls
  • Prepare detailed audit reports outlining findings, risks, and recommended corrective actions.
  • Track and quantify cost savings, compliance improvements, and operational efficiencies.
  • Develop standardized reporting dashboards and performance metrics.
  • Collaborate with executive leadership to strengthen internal controls and expense policies.
Qualifications
  • 7+ years of experience in multifamily maintenance, construction management, facilities oversight, or operational auditing.
  • Prior experience overseeing multiple properties or large portfolios preferred.
  • Strong understanding of unit turns, capital improvements, vendor pricing, and maintenance operations.
  • Ability to analyze financial statements, general ledger detail, and expense trends.
  • High level of integrity, discretion, and independent decision‑making ability.
  • Strong communication, investigative, and analytical skills.
  • Ability to travel nationally up to 60–70%.
