Reports To: VP of Transportation

Role Overview

The Fleet & Asset Manager provides strategic leadership over the comprehensive lifecycle management of the organization's delivery and material handling assets. This role is pivotal in driving operational excellence by ensuring a safe, compliant, and highly available fleet while maintaining rigorous fiscal responsibility. By aligning physical asset performance with long‑term financial strategy and optimizing total cost of ownership, the Manager ensures our supply chain infrastructure is positioned for sustainable growth and peak efficiency.

Key Responsibilities 1. Asset Management & Life Cycle Analysis

Strategic Asset Lifecycle Management: Direct the comprehensive acquisition, operational deployment, and decommissioning of all organizational assets, including delivery vehicles and material handling equipment.

Total Cost of Ownership (TCO) Optimization: Conduct regular Life Cycle Analysis (LCA) to determine the optimal time for equipment replacement based on maintenance costs vs residual value.

Fleet Acquisition & Contract Negotiation: Lead the selection process for new equipment, negotiating leases and purchase agreements that align with company growth.

2. Maintenance & Safety

Preventative Maintenance Strategy: Establish and govern preventative maintenance (PM) schedules to minimize downtime and extend asset life.

Strategic Vendor and Service Partner Management: Oversee and qualify third‑party repair shops and mobile technicians to ensure high‑quality service and fair pricing.

Regulatory Compliance and Risk Mitigation: Ensure all vehicles meet DOT, OSHA, and HAZMAT shipping standards.

3. Financial Planning and Fiscal Oversight

Capital Planning and Budget Development: Collaborate with Finance leadership to manage annual fleet budgets and capital expenditure (CAPEX) requests.

Operational Expense Analysis: Analyze fuel consumption, maintenance expenditure trends, and insurance premiums to implement strategic cost‑reduction initiatives.

Fixed Asset Register Management: Maintain an accurate fixed‑asset register, assisting accounting with depreciation schedules and tax compliance.

Qualifications & Skills

Education & Certification :
Bachelor’s degree in Logistics, Supply Chain Management, or Business Administration. CAFM (Certified Automotive Fleet Manager) or similar professional certification is highly desirable.

Experience : 5+ years of progressive experience in fleet operations, asset management, or logistics. Proven track record in life cycle cost analysis and vendor contract negotiations.

Technical Proficiency :
Advanced knowledge of telematics platforms (e.g., Geotab), fleet management information systems (FMIS), and ERP software like Net Suite. Strong analytical skills using Tableau or Excel for data‑driven reporting.

Regulatory Knowledge :
Deep understanding of DOT, OSHA, and FMCSA regulations, including safety compliance, hours of service (HOS), and hazardous materials transportation.

Leadership & Communication :
Exceptional interpersonal skills to collaborate with Finance, EHS, and Operations teams. Ability to manage complex vendor relationships and lead cross‑departmental safety and efficiency initiatives.

Performance Measurement (KPIs)

Operational Availability: Maintain a minimum vehicle uptime of 95% to ensure consistent service delivery.

Cost Optimization: Monitor and reduce Total Cost per Mile (CPM) through efficient lifecycle management and maintenance strategies.

Safety & Compliance Excellence: Maximize intervals between safety incidents and maintain a superior DOT rating through rigorous regulatory adherence.
