Experience: 5-15 Years The Marketing & Communications Coordinator is responsible for developing, executing, and maintaining the firm’s marketing, social media, and communications initiatives. This role blends creative design, digital content production, and organizational coordination managing everything from day-to-day social media posting and graphic design to proposal support, event coordination, and website content updates. The ideal candidate is a versatile creative professional with strong organizational skills, design skills, digital marketing experience, and the ability to manage multiple projects and deadlines simultaneously.
Proposals, Presentations & Marketing Materials
- Support the development of RFQ responses and proposals for new business opportunities.
- Track the status of public project opportunities, such as bond elections.
- Design resumes using Adobe InDesign, providing resume data and project files remain current and accurate.
- Create presentations for client meetings and quarterly company meetings.
- Develop marketing resource materials, including brochures, data sheets, project lists, and presentation slides.
- Manage and grow the firm’s presence across Facebook, Instagram, and Linked In.
- Plan and maintain a social media content calendar, posting a minimum of three times per week.
- Develop engaging social media copywriting aligned with brand voice.
- Create graphics, reels, and short-form videos for social platforms.
- Film and edit short videos highlighting projects, staff, and events for social media and the company website.
- Create weekly internal company graphics for various company events and campaigns.
- Design marketing and promotional graphics using Adobe InDesign, Illustrator, Photoshop, and Adobe Express (Canva experience a plus).
- Edit photography and video content using Adobe Lightroom, Photoshop, and Adobe Express.
- Take event and project photography (ribbon cuttings, groundbreakings, internal/external events) and final photos of completed projects for marketing use.
- Update market sector videos and manage uploads to the company You Tube channel.
- Create and distribute newsletters, e-newsletters, and email marketing campaigns using Mailchimp.
- Design and manage internal digital signage for office monitors using Opti Signs.
- Prepare quarterly email newsletter, including topic development, copy writing, design, and email list management. Review analytics to identify opportunities for improvement. Report out analytics to leadership team.
- Design signage for external events such as golf tournaments, anniversary parties, and conferences.
- Assist in coordinating client and community outreach events, including conferences, career fairs, trade shows, golf outings, and volunteer programs.
- Update and maintain company website content, including project highlights, photography, and new pages.
- Maintain accurate records of project and personnel data used in resumes and marketing materials.
- Support the organization of marketing processes, files, and systems.
Required:
- Experience supporting proposal or RFQ development.
- Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop, Lightroom).
- Microsoft Office (Word, PowerPoint, Excel, Forms)
- Experience managing business social media accounts (Facebook, Instagram, Linked In).
- Strong writing and copywriting skills.
- Experience with email marketing platforms (Mailchimp or similar).
- Strong organizational skills with the ability to manage multiple deadlines.
- Prior experience in AEC (architecture, engineering, construction), professional services, or a similar industry.
- Experience with Deltek Ajera and pulling reports.
- Experience with Opti Signs or similar digital signage software.
- Familiarity with website content management systems.
- Photography and basic video production/editing experience.
- Detail-oriented with a strong eye for visual design and brand consistency.
- Comfortable working both independently and collaboratively across departments.
- Flexible and adaptable - able to shift between creative, administrative, and event-based tasks.
- Willingness to travel locally and occasionally work outside standard hours for events.
- Ability to attend and photograph events on-site (may include some evening/weekend hours).
- Occasional lifting of event materials/signage.
- Primarily office-based with regular computer and software use.
