Embassy Suites by Hilton Dallas Love Field is seeking an organized, energetic, and detail-oriented Sales Coordinator to support our Sales & Catering team. This position plays a vital role in ensuring the success of group bookings, client communications, and administrative operations while delivering the exceptional hospitality our guests expect.

Position SummaryThe Sales Coordinator provides administrative support to the Director of Sales and Sales Managers by coordinating group business, preparing contracts and proposals, maintaining sales systems, and ensuring a seamless experience for clients from inquiry through event execution.
Essential Responsibilities- Support the Sales Team with administrative tasks and daily operations.
- Prepare proposals, contracts, banquet event orders, and group documentation.
- Respond promptly to client inquiries via phone and email.
- Maintain accurate information in Delphi, OnQ, and other hotel systems.
- Coordinate group rooming lists, reservations, and client requests with hotel departments.
- Assist with site inspections and client tours.
- Prepare weekly sales reports, production reports, and other documentation.
- Coordinate billing information and deposits with the Accounting department.
- Work closely with Front Office, Food & Beverage, Housekeeping, and Banquets to ensure successful group arrivals and events.
- Manage office organization, filing, and correspondence.
- Provide exceptional customer service while representing the Embassy Suites brand.
- Previous hotel sales, front office, catering, or hospitality experience preferred.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with Delphi and PEP is preferred but not required.
- Professional appearance and customer-focused attitude.
- Ability to work independently while collaborating with a team.
