Installation Coordinator in Dallas

Job Description

The Installation Coordinator is responsible for coordinating project installations from internal project handoff through field execution readiness. This position organizes installation details, confirms documentation is complete, manages the installation calendar, coordinates travel for out-of-state work, and serves as a primary point of contact for field installation technicians regarding schedule, logistics, and job-specific requirements. This role works closely with the Projects team to support disciplined scheduling, effective internal communication, proper site readiness verification, and efficient use of company resources.

The position requires strong organization, follow through, and the ability to identify missing details before installation dates and travel commitments are finalized.

• Review layout plans, signed orders, project documentation, and related project processing information to confirm all required installation details are present and actionable.
• Identify missing, incomplete, or unclear information that may impact scheduling, technician readiness, customer expectations, or installation execution.
• Collect, organize, and maintain construction documents, order documents, layout information, contact details, and other materials needed by field installation technicians.
• Review change orders for installation impact and ensure revised scope, layout, materials, and related details are communicated and reflected in project planning.

• Manage the project installation calendar and coordinate installation dates in alignment with project readiness, labor availability, material status, and operational priorities.
• Adjust installation schedules as needed due to readiness issues, customer delays, project scope changes, technician availability, or other operational factors.
• Communicate scheduling updates promptly and clearly to technicians, Projects team members, and other affected internal stakeholders.

• Conduct pre-installation video calls with the customer and/or contractor before final installation scheduling and before travel investments are committed.
• Confirm site readiness and identify issues that could negatively affect installation success, project cost, or technician productivity.
• Arrange technician air travel, rental vehicles, and lodging for out-of-state installations in accordance with approved schedules and company expectations.
• Monitor schedule changes that impact travel and coordinate updates to maintain operational efficiency and cost awareness.

• Serve as a main point of contact for field installation technicians regarding project details, scheduling, readiness status, travel logistics, and project-related coordination.
• Provide technicians with the information and documentation required to arrive prepared and aligned with the approved installation scope.
• Communicate closely with the Projects team to support clean handoff, issue escalation, schedule coordination, and consistent execution of project installations.
• Participate in process improvement efforts related to installation planning, scheduling, readiness review, and field coordination.
