Job SummaryA freight shipping administrator plays a central role in ensuring that goods are transported efficiently, accurately, and in compliance with regulations. Their work spans coordination, documentation, scheduling, and customer service across the shipping process.

ScheduleMonday - Friday 7 am to 4 pm
Responsibilities1. Documentation and Compliance
- Prepare and manage bills of lading, customs declarations, and other shipping documents.
- Verify certificates and ensure compliance with international maritime or freight regulations (e.g., IMO, U.S. DOT).
- Maintain accurate records for audits and regulatory inspections.
- Coordinate vessel or freight schedules, port arrivals/departures, and terminal bookings.
- Liaise with freight forwarders, customs agents, and carriers to align shipments.
- Track and update shipment status in real time.
- Respond to client inquiries, provide shipping updates, and resolve disputes.
- Negotiate rates and manage customer service expectations.
- Oversee order processing, shipment tracking.
- Coordinate corrective actions for shipment failures or delays.
- Maintain master reporting sheets and shipping reports for internal and external stakeholders.
- Use cargo tracking software to input, manage, and act on data.
- Ensure document digitization and system accuracy.
- Address issues like delays, weather disruptions, or strikes.
- Implement solutions to minimize impact on delivery timelines.
- Strong organizational and time management abilities.
- Attention to detail and accuracy in documentation.
- Knowledge of shipping regulations and logistics processes.
- Excellent communication and problem‑solving skills.
