Position:
Business Office Assistant
Morning Shift, 9:00 AM – 5:00 PM, Sunday – Thursday

Pay Range: $23.00 – $25.00 per hour (depending on experience)

Sea Bluffs, Ivy Signature Living is a senior living community under Oakmont Management Group. The Business Office Assistant reports to the Business Office Manager.

Responsibilities
  • Assist with all accounting functions including deposits, daily census, accounts receivable/collections, accounts payable, and management reports.
  • Post resident billing charges, send invoices, post payments, make bank deposits, and ensure resident accounts are current and paid promptly.
  • Code invoices, enter them into the system, and follow up with vendors on past‑due balances.
  • Monitor departmental budgets through monthly spend downs.
  • Secure, maintain, and update Certificates of Insurance for all community vendors.
  • Maintain all non‑care related components of residents’ files, keeping them current.
  • Maintain confidentiality of employee and resident information.
Qualifications
  • High school diploma or equivalent (college courses in business administration preferred).
  • Two years of experience in accounting, preferably in hospitality.
  • Proficient with a personal computer and MS Office (Word, Excel, etc.).
  • Knowledge of or willingness to learn assisted living and dementia care practices.
  • Flexibility to adapt, make decisions under stress, and prioritize tasks.
  • Strong problem‑solving and interpersonal skills.
  • Highly motivated, self‑directed, and able to work independently.
  • Pass criminal background check and health screening (physical, TB).
  • Compliance with COVID‑19 and PPE requirements per regulations.
