Danbury Public Schools serves a diverse community of more than 12,500 students across 20 schools and programs in the City of Danbury. Located in the Central Office, this Administrative Assistant will provide direct support to the Associate Superintendent of Teaching, Learning, and Innovation, along with curriculum and instructional leaders. This position works year‑round in a fast‑paced environment, coordinating communication, scheduling, data, and resources to ensure district leaders, principals, teachers, and staff receive the support they need to advance student learning.

Position

Summary

This Administrative Assistant will ensure the smooth daily operation of the office of the Associate Superintendent of Teaching, Learning, and Innovation. Specific assignments will be determined upon hire, based on demonstrated skills, experience, and the needs of the administrative team.

Representative Duties
  • Maintain meeting and appointment schedules; may be invited to attend, take notes, or record minutes.
  • Receive calls and written communication from both within and outside of the District, solving problems with limited supervision.
  • Greet visitors both in person and by telephone, in support of the leadership team.
  • Order, receive, organize, and distribute educational materials for district-wide use; create and manage effective distribution and inventory systems.
  • Maintain annual budget for supplies and programming, working in close collaboration with the Department of Finance.
  • Perform office tasks including copying, maintaining records, ordering supplies, and preparing Purchase Orders.
  • Access student data as needed to gather information as directed.
  • Perform other related duties as assigned.
Knowledge, Skills, and Abilities

Minimum Qualifications
  • Willingness to collaborate and team with other dedicated administrative staff members for problem-solving.
  • Ability to work independently with minimal supervision, as directed by the Associate Superintendent or designee.
  • Ability to be flexible and work harmoniously across departments in a fast-paced environment.
  • Ability to deal with the public tactfully and courteously, while adhering to strict confidentiality protocols.
  • Superior oral and written communication skills.
  • Familiarity with budgeting and financial management. Spreadsheet building and maintenance skills are a must.
  • Excellent organizational, time management, project management, and problem-solving skills.
Experience and Training
  • Associate degree or higher preferred; work experience and demonstrated aptitude will be considered.
  • Minimum of two years relevant experience in a high-level administrative setting (school environment experience a plus).
  • Working familiarity with student data systems and accounting/budgeting systems required; knowledge of Power School, Frontline, and/or Tyler Infinite Visions and/or grants management preferred.
  • Proficiency in Microsoft Word, Excel, PowerPoint (or similar platforms).
  • Proficiency in Google Docs, Sheets, Slides. A performance task may be required as part of the interview process.
Terms of Employment

This is a Grade 4 Full Year Administrative Assistant position whose terms and conditions are defined by the Agreement between the District and UPSEU (posted on the District website).

  • Starting salary: $27.28/hour, 35 hours/week,
    subject to increase with implementation of the successor Agreement.
  • This position may be eligible for additional stipend compensation associated with related work assignments.
  • Access to health and welfare benefits, and available Paid Time Off, as detailed in the Agreement.
