The Danbury Public Schools Central Office is seeking an experienced and highly motivated Administrative Assistant to join a collaborative and fast‑paced team serving supervisors in our rapidly growing Transportation Office and Technology and Data Management teams. Located in our new Danbury High School – West Central Office, this Administrative Assistant will play a critical role in supporting the operational needs of over 2,000 employees and nearly 13,000 students across the District.
The successful candidate will provide high‑level clerical and administrative support to the leaders of the teams in these two critical areas. This role requires extremely strong organizational, communication, and technical skills, with the ability to manage sensitive information, coordinate meetings and schedules, organize the distribution of technology, and engage with stakeholders regarding our bus operations.
This position reports directly to the Director of Information Technology/Data and the Director of Transportation, in a shared assignment. The Administrative Assistant performs tasks independently, exercising judgment and seeking guidance when appropriate. The role involves frequent interaction with staff, families, vendors, and other district departments.
Examples of Duties Interpersonal & Customer Service- Greet and assist visitors, vendors, and staff in a professional, courteous manner.
- Answer multi-line phones, take accurate messages, and direct inquiries appropriately.
- Provide support to families regarding bus routes, schedules, and technology access.
- Troubleshoot day‑to‑day concerns related to transportation schedules and technology requests.
- Coordinate departmental calendars and ensure daily office operations run smoothly.
- Assist with incident and injury reports in coordination with Human Resources.
- Coordinate with external vendors for technology and transportation services.
- Prepare letters, reports, forms, and notices using Microsoft Office Suite and Google Workspace.
- Perform tasks such as formatting tables, mail merges, and data entry.
- Proofread documents for clarity, accuracy, and professionalism.
- Assist with staff and parent/guardian communications related to departmental updates.
- Generate and submit transportation and technology reports.
- Compile data for district, state, and administrative reporting.
- Maintain and update departmental databases (e.g., routing software, inventory systems).
- Update departmental websites and create training documentation for new systems.
- Maintain office supply inventory and process requisitions, orders, and invoices.
- Assist with oversight of departmental accounts in collaboration with Finance.
- Maintain organized, confidential departmental records.
- Manage transportation routing files, IT inventory logs, and office reference materials.
- Strong interpersonal skills with professionalism, tact, and diplomacy.
- Ability to manage sensitive and confidential information appropriately.
- Effective written and verbal communication skills.
- Strong organizational and time‑management skills in a fast‑paced environment.
- Familiarity with office systems; willingness to learn new technologies.
- Ability to follow detailed written and verbal instructions in English.
- Proficiency with office equipment (computers, copiers, printers, etc.).
- Education: High school diploma or equivalent required.
- Experience: 1–2 years of office support, clerical, or customer service experience.

Proficiency in Microsoft Office Suite and Google Workspace; ability to pass a software skills assessment. - Preferred: Experience with Power School and Traversa – Student Transportation, with willingness to learn and demonstrate proficiency.
- Languages: Bilingual (Spanish or Portuguese) preferred; ability to communicate effectively with diverse families is highly valued.
- Full‑time, 35 hours per week.
- 52‑week position.
- Salary in accordance with the current UPSEU bargaining agreement, with current starting pay at $26.16/hour. Eligible for full health and welfare benefit package, in addition to all paid time off. (Benefit details available on our website.)
- Based at the Danbury High School West/Central Office location on Apple Ridge Road, with some occasional visits to schools as needed.
