Administrative Assistant to the Chiefs of Schools
Position SummaryThe Danbury Public Schools serves a diverse community of nearly 12,000 learners, with 2,000 employees working in twenty school buildings and multiple operations spaces located across the City. This Administrative Assistant will be located in the Central Office Administration Center, working directly with assigned members of the Leadership Team to provide high‑level clerical and administrative support in a fast‑paced environment that requires frequent interaction with visitors and other administrators throughout the District.

Representative Duties- Maintain schedules for the designated Administrator, and attend meetings, take notes, or record minutes as needed.
- Receive calls and written communication from within and outside the District, solving critical problems with limited supervision from the Administrator.
- Organize meetings with other administrators and educational leaders and prepare supporting materials for distribution.
- Perform office tasks, including copying, maintaining records, ordering supplies, and preparing purchase orders.
- Access student data as needed to gather information directed by the Chief Elementary Education Officers or Administrator.
- Coordinate and oversee the internal District component of student placement following the school lotteries, including maintaining lists, communicating deadlines, and interfacing with parents, teachers, and administrators.
- Provide administrative support for the operation of the Teacher Education and Mentoring Program (TEAM), coordinating deadlines, mentor teachers, and clerical support to the supervising Administrator.
- Perform other related duties as assigned.
- Open willingness to collaborate and team with other central office administrative staff for critical problem‑solving.
- Ability to work independently with minimal supervision as directed by the Chiefs.
- Ability to be flexible and work harmoniously across all Central Office Departments in a high‑paced environment.
- Ability to interact with the public tactfully and courteously, while adhering to strict confidentiality protocols.
- Superior oral and written communication skills.
- Excellent organizational, time‑management, project‑management, and problem‑solving skills.
- Associate degree or higher preferred.
- Minimum two years of relevant administrative experience; experience in a school environment is a plus.
- Proficiency in intermediate MS Word, Excel, PowerPoint, and Access, with the ability to pass an intermediate‑level software assessment if requested. Mastery of advanced functions such as mail merge, pivot tables, and data organization is preferred.
- Familiarity with Power School, Front Line, and/or Tyler Infinite Visions is a plus. Willingness to learn and develop intermediate‑proficient skills in education‑related software programs.
Year‑round Grade 4 Administrative Assistant position. Starting salary $27.69 per hour, 35 hours per week. Health and welfare benefits, as well as Paid Time Off, are available as detailed in the District‑UPSEU Union contract. Immediate availability required.
