Salary: $62,500–$75,000.

Position Summary

The Administrative Assistant supports senior leaders across the organization with a focus on Sales and Engineering leadership. This role is a critical enabler of execution in a fast‑paced, globally distributed environment. The position requires strong business acumen, the ability to navigate time zones and cross‑functional dependencies, and a proactive approach to managing priorities, communications, and operational workflows. Success is defined by improving leader effectiveness, driving coordination across teams, and maintaining operational momentum in complex, technical and customer‑facing environments.

Key Responsibilities
  • Manage complex, global calendars across multiple time zones, optimizing scheduling for customer and leadership priorities
  • Draft and manage high‑quality communications both physical and digital using PowerPoint, Staples Print, and Word, including customer‑facing materials and leadership updates
  • Coordinate domestic and international travel with consideration for customer commitments, site visits, and project timelines
  • Manage expense reporting and administrative workflows with accuracy and timeliness
  • Drive recurring business processes (staff meetings, operating reviews, reporting cadences, regular committee meetings)
  • Support planning and execution of office events, team offsites, technical reviews, and meetings
  • Leverage tools (Outlook, Teams, SharePoint, Excel, CoPilot tools) to improve visibility and execution
  • Standardize processes for meeting preparation, materials management, and action tracking
  • Serve as account administrator for  including board build‑out, technical support and user account management (training available)
  • Coordinate with shipping/courier services to manage timely and secure delivery of sensitive or confidential documents
  • Order and coordinate catering (e.g., team lunches, meetings, events), ensuring alignment with schedules and team needs
  • Serve as back‑up for front desk receptionist and other administrative staff as needed
Qualifications
  • 3–5 years of experience supporting senior leaders in an executive assistant, administrative assistant, or operations support role
  • Bachelor’s or associate degree in business, marketing, communications or similar preferred
  • Demonstrated ability to manage complex, global calendars and cross‑functional coordination
  • Strong communication skills, including experience with executive‑level and customer‑facing materials
  • High attention to detail, strong organizational capability, and ability to manage competing priorities
  • Proven ability to handle sensitive information with discretion
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams, SharePoint); experience with project tools (, D365) preferred
  • Experience working in environments that include sales/customer‑facing teams and/or engineering or technical organizations preferred
