Position: Administrative Assistant to the Chiefs of Schools

Administrative Assistant

The Danbury Public Schools serves a diverse community of nearly 12,000 learners, with 2,000 employees working in twenty (20) school buildings and multiple operations spaces located across the City. Located in the Central Office Administration Center, this Administrative Assistant will work directly with assigned members of the Leadership Team to provide critical clerical and administrative support. Administrative Assistants in this position work year-round in an often fast-paced environment that requires frequent interaction with visitors and with other administrators working throughout the District to support effective student learning.

Central Office administrative work is characterized by our employees' willingness to team together to address a wide variety of operational issues, both unanticipated and anticipated, to maximize the Leadership Team's ability to work as effective instructional leaders. The successful Administrative Assistant candidate will be assigned to provide high-level support to the two K-12 central office administrators, The Chief of Schools and Academic Performance, and The Chief of Professional Learning and Student Support.

This Administrative Assistant will also be assigned to support the internal coordination of the student lotteries at Westside Middle School Academy (WSMSA) and the Academy for International Studies (AIS), as well as to the District oversight of the State Teacher Education and Mentoring Program (TEAM) and Residency Programs.

Representative duties include maintaining schedules for the designated Administrator, receiving calls and written communication from both within and outside of the District and solving critical problems as needed with limited supervision from the Administrator. The Administrative Assistant will organize meetings with other administrators and educational leaders and prepare supporting materials for distribution, as directed by the Administrator. The role also involves performing office tasks including copying, maintaining records, and ordering supplies and materials that may require preparing Purchase Orders.

Accessing student data as needed, in order to gather information as directed by the Chief Elementary Education Officers or Administrator, coordinating and overseeing the internal District component of student placement following the school lotteries, providing administrative support for the operation of the Teacher Education and Mentoring Program (TEAM) required for new teachers by the State Department of Education, and performing other related duties as assigned.

Knowledge, skill and ability - minimum qualifications required include open willingness to collaborate and team with other central office administrative staff for critical problem-solving, ability to work independently with minimal supervision as directed by the Chiefs, ability to be flexible and work harmoniously across all Central Office Departments in an often high-paced environment, ability to deal with the public tactfully and courteously, while adhering to strict confidentiality protocols, superior oral and written communication skills, excellent organizational, time management, project management, and problem-solving skills.

Experience and training include an associate degree or higher preferred, a minimum of two years of relevant experience in an administrative setting, knowledge and experience working in a school environment is a plus, and proficiency in intermediate MS Word, Excel, PowerPoint, and Access.

Terms of employment are Grade 4 Year Round Administrative Assistant positions whose terms and conditions are further defined by the Agreement between the District and UPSEU, a copy of which can be found on the District website.
