Total Pain Treatment Centers of CT is seeking a friendly, organized, and detail-oriented Front Desk Specialist to join our healthcare team. This role serves as the first point of contact for patients and plays a critical role in delivering exceptional customer service while supporting the daily operations of a busy medical practice. The ideal candidate will have experience in a healthcare setting, strong administrative skills, and a commitment to providing compassionate patient care.
Key Responsibilities- Greet patients warmly and professionally upon arrival.
- Manage patient check-in and check-out processes efficiently.
- Enter, verify, and update patient demographics and insurance information.
- Educate patients regarding office policies, billing procedures, and insurance participation.
- Schedule appointments accurately using Electronic Medical Record (EMR) systems, including eClinical
Works. - Assist patients with coordinating laboratory testing, imaging studies, specialist referrals, and insurance authorizations.
- Verify insurance coverage, including Medicare and other third-party payers.
- Operate and manage a multi-line phone system while providing excellent customer service.
- Review patient charts prior to appointments to ensure all required documentation and reports are available.
- Respond to patient messages and facilitate communication between patients and providers.
- Maintain accurate medical records while ensuring compliance with HIPAA regulations and privacy standards.
- Scan documents, manage office supplies, and provide general administrative support.
- Utilize Microsoft Office applications for scheduling, correspondence, reporting, and documentation.
- Process daily payments and prepare collection reports.
- Travel between New Haven and Middletown offices to provide coverage as needed.
- Perform additional duties as assigned.
- Previous experience in a medical office, physician practice, or healthcare environment preferred.
- Proficiency with EMR systems; experience with eClinical
Works is highly desirable. - Knowledge of medical terminology and insurance verification processes.
- Experience verifying Medicare and commercial insurance benefits.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office applications.
- Understanding of HIPAA regulations and healthcare privacy standards.
- Exceptional customer service and phone etiquette skills.
- Bilingual language skills are a plus.
- Experience coordinating referrals, authorizations, and patient scheduling.
