Total Pain Treatment Centers of CT is seeking a friendly, organized, and detail-oriented Front Desk Specialist to join our healthcare team. This role serves as the first point of contact for patients and plays a critical role in delivering exceptional customer service while supporting the daily operations of a busy medical practice. The ideal candidate will have experience in a healthcare setting, strong administrative skills, and a commitment to providing compassionate patient care.

Key Responsibilities
  • Greet patients warmly and professionally upon arrival.
  • Manage patient check-in and check-out processes efficiently.
  • Enter, verify, and update patient demographics and insurance information.
  • Educate patients regarding office policies, billing procedures, and insurance participation.
  • Schedule appointments accurately using Electronic Medical Record (EMR) systems, including eClinical

    Works.
  • Assist patients with coordinating laboratory testing, imaging studies, specialist referrals, and insurance authorizations.
  • Verify insurance coverage, including Medicare and other third-party payers.
  • Operate and manage a multi-line phone system while providing excellent customer service.
  • Review patient charts prior to appointments to ensure all required documentation and reports are available.
  • Respond to patient messages and facilitate communication between patients and providers.
  • Maintain accurate medical records while ensuring compliance with HIPAA regulations and privacy standards.
  • Scan documents, manage office supplies, and provide general administrative support.
  • Utilize Microsoft Office applications for scheduling, correspondence, reporting, and documentation.
  • Process daily payments and prepare collection reports.
  • Travel between New Haven and Middletown offices to provide coverage as needed.
  • Perform additional duties as assigned.
Qualifications Required Skills & Experience
  • Previous experience in a medical office, physician practice, or healthcare environment preferred.
  • Proficiency with EMR systems; experience with eClinical

    Works is highly desirable.
  • Knowledge of medical terminology and insurance verification processes.
  • Experience verifying Medicare and commercial insurance benefits.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office applications.
  • Understanding of HIPAA regulations and healthcare privacy standards.
  • Exceptional customer service and phone etiquette skills.
Preferred Qualifications
  • Bilingual language skills are a plus.
  • Experience coordinating referrals, authorizations, and patient scheduling.
